Job Description:

Academic Advising - Collaborates with Academic Program Specialist III to advise students in the Master of Science and Doctor of Philosophy programs. The incumbent will be assigned an advising load in proportion to overall duties with the remainder of students assigned to the Academic Program Specialist III.  Assists with the implementation, administration, and evaluation of program policies and procedures in order to achieve desired objectives. Responds to academic inquires in person, via email and telephone. Develops print and web-based content for advising functions. Communicates critical updates to graduate students as needed. Interfaces with the university registrar, graduate school, financial aid, human resources, and international offices as needed. Interprets University policies, procedures, and curriculum to students, faculty, and staff. Provides expert consultation related to areas of responsibility.

Administration – Collects and reports data related to advising, degree certification, academic progress of advising load, examinations, and other areas of responsibility. Manages the degree certification process for all graduate credentials in the department. Prepares and submits petitions to the registrar and graduate school for student issues related to assigned advising load. Assists with academic processing, including releasing orientation holds, course registration, candidacy/final exams and other department forms. Supports the Academic Program Specialist III in the development and maintenance of department forms, the MAE Graduate Student Handbook, MAE Central (student services portal), and webpages related to area of responsibility. Assists with the maintenance of the department electronic student file system.

Events – Collaborates with Academic Program Specialist III to design, develop, and implement student life events. Assists with the planning and execution of academic events including but not limited to orientation, degree program seminars and workshops, and graduation celebrations.

Perform other duties as assigned.

Expected Salary:

$51,000-$56,000; commensurate with qualifications and experience

Minimum Requirements:

Bachelor's degree and two years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:
  • 5 years of related working experience.
  • Knowledge of SLATE, GIMS, Microsoft Office, UF SIS, Adobe Acrobat, DocuSign, Qualtrics, and Canvas.
  • Ability to learn additional programs as needed.
  • Knowledge of state and federal confidentiality laws, office procedures, and practices.
  • Effective verbal and written communication skills with individuals at various educational levels.
  • Strong Interpersonal skills.
  • Ability to handle confidential aspects of job with discretion and diplomacy, set priorities, establish/meet deadlines with great independence.
  • Sound judgment in decision making.
  • Ability to prioritize work load.
  • Significant organizational skills with attention to detail.
