Job Description:

The Visitor Engagement Assistant will play a key role in supporting daily operations, coordinating visitor engagement programs, managing administrative tasks, and overseeing volunteer-led visitor surveys. This position reports to Jody Green, Assistant to the Director & Special Projects Manager and supervises volunteers.

  • Part-time position (April – August 2025) with approximately 15-20 hours of work per week
  • Flexible schedule required, including select evenings and weekends based on museum events

Key Responsibilities

  • Produce weekly museum store sales reports
  • Track, manage, and reconcile expenses for the Visitor Engagement budget
  • Organize Art After Dark programming, including securing caterers, vendors, supplies, and entertainment
  • Track and ensure timely payments for Art After Dark expenses
  • Develop language for marketing materials for Visitor Engagement programs and departmental offerings
  • Recruit, onboard, and train volunteers to conduct visitor surveys
  • Assist with conducting the visitor surveys as needed
  • Manage and submit visitor survey data
  • Prepare and submit quarterly reports for the Harn National Council
  • Submit purchase requests and IT assistance requests on behalf of the department
  • Provide coverage for the Event & Rental Coordinator as needed
  • Submit monthly department updates for the Harn Museum newsletter
  • Assist with recording and reporting attendance data Additional administrative support as needed

Additional Responsibilities

  • Financial Duties: Ability to analyze a budget, and comfort with financial processes from setting up vendors, purchasing goods and services, and budget reconciliation
  • Museum Store: Assist with store inventory as needed
  • Confidential Data Handling: Maintain secure handling of sensitive financial and visitor data
Expected Salary:

$14.00 per hour

Minimum Requirements:
  • High school diploma with some college coursework completed
  • Experience in customer service
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong organizational skills with attention to detail
  • Ability to handle multiple tasks and meet deadlines
  • Strong emotional intelligence and flexibility in a fast-paced environment
  • Flexible schedule required, including select evenings and weekends based on museum needs.
Preferred Qualifications:

Preferred Qualifications

  • Experience with Point-of-Sale (POS) systems
  • Familiarity with PeopleSoft
  • Excellent written and verbal communication skills
  • Ability to work effectively with museum staff, volunteers, and visitors
