Job Description:

This position serves as the Assistant Director, managing the fiscal and administrative functions for the Department of Agricultural and Biological Engineering. This position is responsible for directing the department’s financial accounts, processes, post award grants/contracts, and office staff. The incumbent is responsible for interpreting and implementing policies to manage the fiscal and administrative operations. The position will be expected to provide support for all roles that are supervised including human resources, student advisory, and pre-award of grants/contracts for the Dept.

Some key responsibilities and characteristics of this position are:

  • Coordinates, manages, and oversees the department’s financial operations including supervision of fiscal and budget office staff members and participation in accounting activities as necessary.

  • Supervises fiscal office including budget balances and reconciliations of all departmental accounts including research program services.

  • Serves as a financial liaison with the responsibility of making informed financial decisions on behalf of ABE with approval of the Director.

  • Direct needed design, development and implementation of policies and processes for the efficient functioning of the administrative staff in support of the department in collaboration with the Chair. Provides direct supervision of financial and clerical staff in the department, student records personnel, academic assistant, educational/training specialist, and general supervision of OPS employees. 

  • Budget operations in the department.

  • Assists Center Director in developing operating budgets; oversee all expenditures and develop cost control measures. Participates in the strategic planning process to determine the needs of ABE and advocate for resources across the unit. 

  • Responsible for all cost sharing, effort commitment, and effort reporting for awards and projects of ABE. The position acts as Department Coordinator for Effort Reporting and completes required activities each semester.

  • Responsible for creation, dissemination and revision, when necessary, of Faculty Assignment Reports (FARs). 

  • Analyze departmental data and developing information and reports

Required Qualifications:

Master's degree in an appropriate area and two years of relevant experience; or a bachelor's degree in an appropriate area and four years of relevant experience.

The ideal candidate will possess the following experience and skills:

  • Capable of preparing and responding to a variety of confidential, complex and sensitive issues

  • Experience in budgeting, fiscal management and accounting

  • Ability to process financial transactions flowing through the PeopleSoft, Contracts and Grants

  • Effective Human Resources management/supervision

  • Strong leadership skills

  • Good interpersonal skills

  • Ability to compose own correspondence, edit, and proofread that of others

  • Ability to analyze departmental data and develop information and reports using appropriate software packages

  • Punctual and maintain an excellent attendance record

  • Highly organized and capable of working under pressure and producing within deadlines

  • Be able to prioritize own work and proceed with minimum supervision

  • Ability to maintain professional approach at all times working with different personalities

  • Consistently demonstrate personal initiative: display interest in the overall well-being and success of the department
