Job Description:

🔹 Financial Processing & Compliance

  • Approve and review procurement card (P-card) transactions in PeopleSoft
  • Ensure account balances are sufficient and follow up on overdue receipts
  • Resolve system or vendor issues and initiate dispute processes when necessary

🔹 Invoice & Payment Management

  • Review invoices for accuracy and compliance before processing payments
  • Work with faculty and supervisors to obtain necessary approvals and documentation
  • Coordinate with Disbursements to resolve system/vendor issues

🔹 Financial Recordkeeping

  • Enter approved P-card transactions and invoices into the Shadow System
  • Maintain accurate financial records for reporting and auditing purposes

🔹 Asset & Inventory Tracking

  • Track purchases that meet asset criteria and update the MyAssets database
  • Collaborate with IT to conduct annual inventory assessments

🔹 Administrative Support

  • Serve as a secondary receptionist, greeting visitors and assisting with inquiries
  • Maintain business process documents to ensure they are current
  • Conduct periodic inventory checks for phones and billing records
  • Collect rent payments and update housing records
Expected Salary:

$18.00 hourly commensurate with education and experience

Minimum Requirements:

High school diploma or equivalent and three years of general accounts transaction experience. Appropriate college course work or vocational/technical training may substitute at an equivalent rate for required experience.

Preferred Qualifications:
  • Proficiency in Microsoft Excel and Outlook
  • Strong organizational and time-management skills
  • Excellent customer service and communication abilities
  • Familiarity with UF financial policies and procedures (a plus)
