Job Description:

🔹 Human Resources Support

  • Assist with onboarding, offboarding, and hiring paperwork
  • Maintain personnel files and ensure compliance with UF, state, and federal guidelines
  • Help verify payroll and time approvals as needed
  • Serve as a point of contact for basic HR inquiries and policy clarifications
  • Handle confidential information with discretion

🔹 Administrative & Facility Management Support

  • Oversee interns for Central Reception
  • Assist with vehicle and conference room reservations
  • Issue visitor parking permits and manage mail/packages
  • Maintain office supplies and key distribution
  • Support housing reservations and inspections for TREC student housing

🔹 Event & Special Project Assistance

  • Help coordinate large-scale events and meetings
  • Assist with special administrative projects as assigned

🔹 Reception & Customer Service

  • Answer phones and greet visitors
  • Direct inquiries to the appropriate staff members
Expected Salary:

$18.00 hourly commensurate with education and experience

Minimum Requirements:

High school diploma or equivalent and four years of appropriate experience or an equivalent combination of education and experience.

Preferred Qualifications:
  • Strong organizational and multitasking skills Strong organizational and multitasking skills
  • Ability to handle confidential information professionally
  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Interest in HR, administration, or facility management (preferred)
  • Ability to work independently and collaborative
  • Ideally has 1-2 years previous Administrative Assistant experience
