Job Description:

The Department of Health Outcomes & Biomedical Informatics (HOBI) in the College of Medicine is recruiting an Accounting Specialist to serve as the primary fiscal point of contact. This position supports the financial operations of both the Department of HOBI and the Institute for Child Health Policy, overseeing and assisting with the processing of $12 million in procurement, travel, and journal transactions.

Key responsibilities include managing aspects of post-award grant administration, assisting the Assistant Director of Finance with budgeting, and ensuring compliance with University, State, and Federal regulations. The role requires a strong understanding of financial policies and procedures within the University, College of Medicine, and affiliated centers and institutes.

The ideal candidate is a self-starter with a strong capacity for hard work and extensive knowledge of University, College of Medicine, and Center & Institute policies and procedures. They should be proficient in PeopleSoft Financials, myUF Market, and UFGO/Concur. Experience in post-award grant administration, along with strong analytical skills and a solid understanding of financial compliance, is also important.

Procurement

  • Serve as primary department approver and oversee Department fiscal staff entry of purchase requests, requisitions and purchase order, and invoice payment.
  • Assess Department request and assign correct funding source, as well as review for accuracy, allocability and allowability.
  • Coordinate with the research team on contracts/agreements for procurement needs.
  • Organize and oversee the tracking of contract/agreements to ensure deliverable terms and payment schedules are being met.
  • Serve as fiscal contact for Wizehive operations and troubleshooting with Department Application Programmer.

Travel and PCards

  • Act as Department approver of fiscal transactions in UFGO/Concur, reviewing for accuracy, allocability, and allowability.
  • Serve as point of contact for resolving issues and answering travel-related questions from faculty and staff.
  • Stay up to date on procedures and communicate changes to fiscal staff.
  • Assist faculty and staff in processing travel and PCard transactions during high-volume periods.

Cross College Payroll Funding (PDRR)/Payroll Distribution Oversight

  • Assist in processing department PDRR/payroll distribution needs and requests from the Assistant Director of Finance.

Supervision of Fiscal and Accounting Processes

  • Uses Wizehive system to aid collection of documents, approvals, determine funding sources.
  • Work to improve current processes and find efficiencies in processing times for fiscal transactions.
  • Review, approve, and maintain recordkeeping for human subject payments. 
  • Process journal entries for various expense and revenue transactions.
  • Collaborate with Department Assistant Director of Finance and Director of Administrative Services to meet all fiscal department needs.

Reconciliations and Reporting

  • Review PCard and Travel Aging reports, MyUFMarketPlace aging or overdue reports, and transactions placed on contingent sources.
  • Coordinate with fiscal staff to reconcile all monthly transitions in a timely manner and resolve any issues arising from these reconciliations.

Training/UF Directives & Procedures:

  • Attend UF training courses to maintain up-to-date knowledge of policies and procedures.
  • Ensure the Department adheres to University Financial and Accounting Directives and Procedures and that all fiscal activities comply with UF Purchasing policies.

Expected Salary:

$58,000-$66,000; commensurate with education and experience 

Minimum Requirements:

A bachelor's degree in an appropriate area of specialization and one year of appropriate experience or an equivalent combination of education and experience.

Preferred Qualifications:
  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • Experience in financial administration, preferably in an academic, research, or healthcare setting.
  • Proficiency in PeopleSoft Financials, myUF Market, UFGO/Concur, and Enterprise Analytics.
  • Strong analytical skills with experience in procurement, post-award grant administration, and financial compliance.
