Job Description:

The Academic Assistant supports the daily operations of the Continuing Dental Education (CDE) department at the UF College of Dentistry. This role plays a critical part in the planning and delivery of over 100 continuing education courses each year. The successful candidate will be detail-oriented, organized, and proactive, and will take ownership of their responsibilities while learning and growing in a fast-paced, customer-focused academic environment.

This position is ideal for someone seeking to build their professional skills in higher education, healthcare, or event management. The Academic Assistant will receive mentorship, training, and meaningful exposure to UF’s mission in lifelong learning and professional development for dental practitioners.

Course Administration

  • Coordinate logistics for continuing education courses, including scheduling, room reservations, materials preparation, and communications with faculty and participants.
  • Assist with course setup and support during in-person and weekend events.
  • Prepare course documents and manage attendee sign-ins and confirmations.
  • Respond to phone and email inquiries in a timely, professional, and helpful manner.
  • Maintain organized records and assist with general office operations including scanning, filing, and supply tracking.

Student Enrollment, Records & Training

  • Manage student registrations using the college’s registration system.
  • Ensure timely and accurate enrollment, roster management, attendance tracking, and course status updates.
  • Assist participants with registration issues and guide them through processes clearly and patiently.
  • Create, assign, and maintain student prerequisite materials and training modules in Canvas.

Digital Content, Data Entry & Website Management

  • Accurately enter and manage course data, registration details, and reports using Microsoft Office (Excel, Word, PowerPoint).
  • Generate registration and attendance reports as needed.
  • Update and maintain course listings and resources on the department website using WordPress.
  • Ensure all course content, schedules, and participant-facing details are accurate and up to date.

Work Style & Communication

  • Take initiative in managing time and anticipating department needs and upcoming tasks.
  • Follow through on assignments and keep team members informed without needing reminders.
  • Communicate clearly, professionally, and courteously with faculty, participants, and coworkers.
  • Work both independently and collaboratively, contributing to a supportive and efficient team culture.

Course Support & Adaptability

  • Provide reliable support during live courses, especially on weekends or during high-volume periods.
  • Remain calm, resourceful, and solutions-oriented when addressing last-minute needs or participant concerns.
  • Represent the department professionally in all interactions, creating a welcoming and efficient learning environment.

Monday – Friday, 8:00 AM – 5:00 PM; occasional weekends (weekday hours will be adjusted accordingly).

Expected Salary:

$17.79 per hour; commensurate with education and experience

Required Qualifications:

High school diploma or equivalent and two years of relevant experience.

Preferred:
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication.
  • Ability to work independently and in a team environment.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat.
  • Familiarity with Zoom, Canvas, and WordPress (HTML or coding not required).
  • Interest in building skills related to professional education, event coordination, and customer service.
  • Willingness to take initiative and grow with mentorship.
