Business Career Services (BCS) within the Warrington College of Business is seeking an enthusiastic and versatile Student Assistant to take on a multi-faceted role as Front Desk Supervisor, Events Support, and Data Management. This position will play a pivotal role in providing exceptional customer service to students, stakeholders, and employers visiting the BCS-Heavener Hall Career office, supporting the coordination of career-related events, and efficiently managing data to enhance the overall effectiveness of our services.
The student will also assist the BCS team in providing valuable pre-event and event-day assistance for our student population and employer recruiting events throughout the fall and spring recruiting seasons.
This position is a commitment of a minimum of 10 hours and maximum of 20 hours per week and will be located in Heavener Hall, Suite 102. Additional hours may be available during busy times. Occasional evening events may occur where assistance is needed. Minimum commitment of one (1) academic year mandatory, with a preference for a student who can commit to two (2) back-to-back academic years.
ESSENTIAL FUNCTIONS OF THE JOB:
Front Desk Supervisor:
- Supervise the reception area, ensuring it is tidy, organized, and well-stocked with relevant materials.
- Welcome and greet students, BCS team members, employers, and visitors with a friendly and professional demeanor and direct them to the appropriate team member.
- Provide information about BCS programs, services, events, and resources to students and visitors.
- Manage incoming phone calls with professionalism, respond to emails, and direct inquiries to the appropriate Career office team members.
Career Events Support:
- Assist in the planning, coordination, and execution of career-related events, such as career fairs, workshops, employer panels, and networking sessions.
- Assist in the setup of event space, including arranging seating, signage, and necessary equipment.
- Collaborate with other Student Assistants and Career Office team members to ensure events run smoothly.
- Assist in the management of career event registration, check-in, and support career event attendees as needed.
Data Management:
- Efficiently manage and maintain various databases software platforms, recording student interactions, event attendance, and employer engagement data.
- Generate reports and analyze data to provide insights and recommendations for enhancing Career office services and activities.
- Ensure the accuracy and confidentiality of student and employer information.
- Assist with data entry tasks related to job postings, internship opportunities, and employer contacts.
Career Resources Assistance:
- Familiarize students with the services provided by Business Career Services and guide them to relevant materials.
- Assist students in navigating online career platforms and job search tools such as HireWarrington and VMock.
Social Media and Outreach:
- Support the promotion of BCS events and services through social media platforms and other communication channels.
- Collaborate from time to time with the Warrington Marketing team on various marketing and social media initiatives.

Minimum Requirements: |
• Currently enrolled as a Warrington College of Business student • Working knowledgeable of Microsoft Office including Outlook, Word, PowerPoint, Excel and Teams, along with basic data management skills. • Ability to work evening events on campus • Ability to take initiative and work independently • Strong attention to detail • Time management and organization skills • Ability to oversee multiple tasks efficiently, prioritize responsibilities and meet deadlines. • Excellent communication and customer service skills, with the ability to interact professionally with diverse stakeholders (in-person; on the phone)
