Job Description:

The University of Florida College of Medicine is seeking a highly organized and detail-oriented HR Generalist II to support graduate programs, including residents, graduate assistants (GAs), and external rotators. As a key member of the HR team, you will ensure compliance and accuracy in HR processes, serve as the primary approver for graduate program transactions, and provide onboarding, payroll processing, and administrative support. About This Role

HR Transaction Oversight and Compliance

  • Serve as the Level 1 approver for graduate programs, ensuring accuracy and compliance for hires, job actions, extra duty, and terminations.
  • Approve and oversee termination files for residents.
  • Provide guidance and oversee Training Resident Number (TRN) renewals, ensuring proper documentation and processing.
  • Support HR audits and ensure accurate uploads of medical diplomas and other documentation into relevant systems.
  • Oversee compliance with visa and training requirements, including J-1 Visa regulations and PGY-1 program restrictions.

Onboarding Coordination

  • Oversee onboarding processes for residents, Graduate Assistants, and external rotators, ensuring timely collection and processing of required documentation.
  • Monitor I-9 verification and conduct follow-ups with departments to ensure compliance.
  • Monitor compliance for foreign national hires, providing guidance to departments and new hires as needed.
  • Collaborate with departments to address missing or incomplete paperwork, training records, demographics, and other onboarding elements.

Payroll and Program Administration 

  • Manage payroll distributions, including processing HR600 forms for Residents as Teachers and incidental payments for PGY-1s.
  • Oversee meal allowances for residents.
  • Enter and process Graduate Assistant tuition waivers.
  • Audit payroll allocations and funding lines for accuracy, collaborating with departments to address discrepancies.

Support and Special Projects

  • As needed, assist the Transaction Center team during high-volume periods by supporting data entry, ePAF processing, and other HR tasks.
  • Maintain records for courtesy residents and external rotators, ensuring system data accuracy.
  • Collaborate on special projects related to process improvement, compliance initiatives, and operational efficiency within graduate programs HR.
  • Provide phone coverage as needed during receptionist absences.
  • Welcome visitors and assist with inquiries when the receptionist is unavailable.

Expected Salary:

$55,000–$60,000, commensurate with education and experience.

Minimum Requirements:

Bachelor's degree in an appropriate area and two years of relevant experience or an equivalent combination of education and experience.

Preferred Qualifications:

The ideal candidate will possess: 

  • Bachelor’s degree in human resources, business administration, or a related field or equivalent experience; 2-3 years of human resources experience, emphasizing transactional HR processes and compliance.
  • Strong understanding of HR processes, onboarding, and compliance requirements.
  • Excellent organizational, problem-solving, and multitasking skills.
  • A strong communicator, interacting effectively with both internal and external stakeholders, ensuring smooth transaction workflow, and resolving any challenges that may arise.
  • Ability to support transactional operations during high-demand periods.
  • Proficiency in relevant systems for data tracking and reporting.
  • Proficient in Microsoft Office Suite, especially Word and Excel.
    Familiarity with PeopleSoft or similar HRIS systems, with the ability to quickly learn new software platforms.
