Job Description: |
This position will perform a variety of clerical and fiscal accounting tasks related to payroll, effort reporting, accounts reconciliation, and more. The duties will include:
Payroll, effort:
- Responsible for all payroll distributions of the department (including the initial missing distribution), retros, and cross-funding for department
- Function as departmental liaison by providing account information to outside departments for cross-funding
- Responsible for coordination and input of the annual payments for department
- Process journal entries as needed
Accounts reconciliations:
- Responsible for the accurate and periodical maintenance and reconciliation of the Institute, Department overhead accounts
- Provide feedback as needed at the monthly grant reconciliation meetings with PIs, division managers and grants specialists
- Participate at the fiscal year-end close out as needed along with the senior fiscal administrators of the department.
Financial processes:
- Responsible with the oversight and input of the participant payment process
- Process invoices for payment. Verify items and services have been received. Enter requisitions into myUFMarketplace. Research Purchase orders and invoices for Vendors and Staff as needed. Monitors and approves orders in MyUF Marketplace.
Miscellaneous administrative tasks:
- May provide the grants team budget information as needed .
- Back up for travel and purchasing (Would be responsible for all travel and PCard)
- Gather required invoices and packing slips for PCard charges and get chartfield information to enter into
- UFGO. Scan backup into system and file in Share Drive. Enter Travel Authorizations for PI and staff as needed. Request the information required for the travel. Enter expense sheets when employees return from travel. Work with employees and gather all receipts and conference information required for
- submission.
- Backup for receptionist, assist with other Clinical Research and Department related activities as needed
- Back up for the monthly port and phone charges.

Expected Salary: |
$20.47 - $24.65 hourly. Commensurate with experience
|
Minimum Requirements: |
High school diploma or equivalent and five years of general accounts transaction experience. Appropriate college course work or vocational/technical training may substitute at an equivalent rate for the required experience.

Preferred Qualifications: |
Experience with the duties listed is preferred: payroll distribution, effort reporting, accounts reconciliation, travel, purchasing, research participants payment processes. |
