Job Description:

The Student Health Care Center (SHCC) at The University of Florida within the Department of Community Health and Family Medicine (CHFM) is seeking a Clinical Services Representative II to Schedule patient appointments and check in/check out at appropriate times. Answer phones, disseminate agency information, or direct to the correct individuals. Work with a varied population of students, medical providers, and other individuals to help them attain health care services. Ensure that accreditation standards are maintained. Protects confidentiality of the medical records and all patient information. Interacted with multiple University of Florida (UF) departments to clear students in various programs. With direction, work with the secretarial and nursing staff in clinic functions.


Scheduling:

  • Schedule patient appointments, tests, procedures, and minor surgeries in person, by telephone and/or via MyChart inquiries.
  • Responsible for reviewing and updating patient account details and entering and verifying insurance.
  • Triage all incoming calls to the clinic, forward calls, and consult or defer medical questions/advice to appropriate clinical staff.
  • Work effectively with a wide range of students whose needs may be challenging to assess on initial contact.

Check-in and Check-out Patients:

  • Greets patients and visitors warmly and professionally and provides a patient-friendly entry and exit point.
  • Obtain all health history, physical forms, consent forms, copies of identification/ insurance cards, and other required documentation during the check-in and check-out.
  • Verify student status/eligibility for services and select the appropriate guarantor for an appointment.
  • Ensures scanning of paper documents in EPIC are correctly completed, labeled, and placed in the correct tab of the patient EMR

Administrative Support:

  • Processes incoming mail, coordinates office supply orders and assists with maintaining adequate inventory levels in the clinic.
  • Manages in-basket pools and resolution of front-end edits, rejections, and information requests within a targeted time frame.
  • Troubleshoots patient care issues. Works with the referral coordinator to ensure patients schedule appointments with medical specialists at UF Health and in the community.
  • Provides coverage in other medical team areas (as necessary). Perform other duties as required to support the overall mission of the department.

Typical schedule: Monday through Friday, 08:00 AM to 05:00 PM (08:00 AM to 04:30 PM during summer and break weeks) 40 hours per week. Hours and days may vary due to the needs of the SHCC Clinic. Work locations may differ from UF Vet Hospital and Student Health Care Center on Campus as needed. Overtime may be required based on workload requirements.

Expected Salary:

The salary range is between $18.50 to $19.35 per hour and is commensurate with skills and experience.

Minimum Requirements:

High school diploma or equivalent and two years of relevant office experience. Appropriate college coursework or vocational/technical training may substitute an equivalent rate for the required experience.

Preferred Qualifications:
  • Ability to adhere to high standards of customer service as the position involves extensively telephone and face-to-face interaction with patients, health care providers, and staff from various SHCC offices.
  • Possess excellent communication, organization, and problem-solving skills.
  • Must be comfortable discussing personal health information in a confidential, professional manner.
  • Business or healthcare-related practice experience.
  • The ability to multi-task, prioritize responsibilities, problem-solve, and function in a team environment.
  • EPIC system knowledge
  • Knowledge of CPT, HCPCS, and ICD-10
  • Working knowledge of WayStar and Availity
  • Ability to adhere to UF and UF Health policy. Completion of required annual training including but not limited to HIPAA, FERPA, Red Flags, Handling SSN, Billing Compliance
