The position of Program Manager works with the Associate Provost for Academic and Faculty Affairs and is a highly visible position with significant responsibilities requiring an individual who can manage concurrent tasks, effectively interact with diverse constituents, and represent the office in a professional manner.
The incumbent will assist the Associate Provost in maintaining and implementing university and governmental policies, regulations and procedures. The individual is responsible for performing a variety of project management duties requiring an extensive working knowledge of Promotion and Tenure, Post-Tenure Review and the Faculty Excellence Advancement program (FEA). The individual interacts with a diverse clientele, both inside and outside the University, including faculty, staff, administrators, and consultants. The person is a representative of the university and the Office of the Provost and must maintain a professional, outgoing, and helpful attitude.
The successful candidate should demonstrate an understanding of the tenure and promotion requirements and priorities unique to the University of Florida and should work closely with the Associate Provost to achieve identified goals. The individual must have the ability to maintain a high level of confidentiality due to the sensitive nature of materials handled in the office. The individual is expected to work independently with minimal supervision ensuring processes are functionally correctly, internal customers are being assisted, as well as preparing a variety of numerical and contextual reports for the Associate Provost. The incumbent must be proactive with assignments, have attention to detail, take ownership of responsibilities and operate at the level of program manager to a top-level university executive
Examples of Work (These are not all inclusive, nor do they cover the full extent of the duties performed):
Serves as the subject matter expert and point of contact for the Faculty Excellence and Advancement (FEA) system, annual evaluations, and Post-Tenure Review processes. Monitors compliance with faculty performance evaluations and faculty personnel matters. Establishes dates, communications, training sessions, and relevant access for each year’s Promotion & Tenure cycle and Post-Tenure Review cohort. Ensures the successful completion of business processes in accordance with university policies and regulations.
Security Maintenance: Acts as the primary approver for security roles required to perform key functions within the organization. This role includes evaluating access needs, granting appropriate roles, and setting up access in FEA. Additionally, the individual is responsible for providing access to authorized users, maintaining accurate and up-to-date records, and ensuring compliance with all required training materials before granting access to perform tasks within the respective business process.
Community of Practice: Coordinates and facilitates regular meetings within the community of practice established for P&T administrative staff. Maintains updated lists of contacts in each college/department. Communicates updates and important information to this audience in a timely manner. Convenes and facilitates meetings to keep administrative staff informed and equipped to support faculty promotion and performance evaluation processes.
Liaison: Serves as the primary liaison with UFIT, Academic Analytics, and relevant UF employees on troubleshooting issues, submitting requests and overseeing their completion, and regular maintenance of the Faculty Excellence and Advancement platform. Serves as primary contact for UF faculty and administrative staff on questions related to the promotion and tenure, post-tenure review, faculty performance evaluations, and system issues related to the FEA platform.
Website Maintenance: Ensures online platform has relevant and updated information related to FEA, Promotion and Tenure, and Post-Tenure Review. Works with department admins from other colleges to ensure this information is broadcast across the university.
This individual will be responsible for the ongoing evaluation of processes within the FEA system.
Assist with other special projects and initiatives as appropriate.
