Job Description:

Provides teaching assistance to faculty, including liaising with staff coordinating guest lectures outside of the department. Manages the teaching evaluation process by maintaining a schedule of courses to be evaluated and ensures their completion. Provides the Office for Academic and Student Affairs with any data related to the overall program and final evaluations. Gathers data and prepares spreadsheet of instructor and course effort to enter into Academic Activity Report in MyUFL. Coordinates and maintains records for all peer reviews of faculty teaching activities.

Assists with the coordination of the IDI departmental and CIMI seminar series. Liaises with faculty course coordinators and to organize syllabus. Coordinates all communication, logistics and travel arrangements for visiting speakers. Coordinates agenda, meetings and meals for visitors with faculty, students and staff.

Supports the faculty evaluation and tenure and promotion preparation processes. Serves as a liaison with the CVM Personnel office for related activity within the department; stays abreast of changing policies and procedures, disseminates updated information to faculty, notifies them of their time frame for turning in annual achievement forms and dossiers, answers questions related to the process and advises as appropriate. Reviews and verifies completed forms for accuracy and edits dossier for language and formatting.
Dossier preparation, prepares correspondence requesting reviewers, internal and external, of packets, tracks receipt of letters, extracts and imports various data into packets, and prepares documents in final form. Schedules appropriate meetings for departmental review, voting, tabulates ballots and reports appropriately. Coordinates review of packets with CVM Personnel and ensures copies are provided as appropriate for the College Tenure and Promotion Committee.
Additionally, for annual evaluations, maintains master spreadsheet of all faculty activities throughout the year. Prepares draft letter of evaluation for chair and ensures all pertinent information is included in the letters. Coordinates the scheduling of each evaluation meeting between the chair and faculty. Ensures all completed evaluation letters are submitted to CVM Personnel and maintains files related to the process.

Manages IDI department and CIMI website as well as intranet site; responsible for keeping information current and updated, adding new information, advising faculty and departmental administrators of new ideas and ways of improving website. Ensures compliance with CVM policy related to websites and disseminates new information within the department as appropriate.

Assists with departmental events. Updates public displays throughout department and college to keep ID&I information/materials current. Assists with transportation needs of faculty and staff, including driving a state vehicle when necessary.

Other duties as assigned by supervisor.

Expected Salary:

$18.00 - $22.00 an hour

Minimum Requirements:

High school diploma or equivalent and three years of relevant experience.

Preferred Qualifications:

• Bachelor degree in Business, English, Communication, Psychology or Biology preferred.
• Must be able to prioritize, exercise independent judgement, and work under pressure and tight deadlines.
• Familiarity with UF PeopleSoft system.
• Ability to collect, evaluate, and analyze data.
• Familiarity with WordPress website content management system.
• Excellent writing, editing, and communication skills, with a keen eye for detail and consistency in messaging and branding.
• Proficiency in design software such as Adobe Creative Suite (Photoshop, Illustrator, InDesign) for developing marketing materials and infographics.
