Job Description:

The University of Florida, College of Medicine, Department of Emergency Medicine (DEM), actively seeks a motivated and experienced individual to join us as the Clinical Scheduling Manager.

The UF Department of Emergency Medicine proudly maintains an affiliation with UF Health Shands Hospital, a distinguished 1,162-bed teaching facility renowned for its Level 1 trauma center and cutting-edge burn center. As the primary referral center for North Central Florida, our institution stands as a beacon of excellence in healthcare. This affiliation underscores our commitment to top-tier medical care and innovation.

Key Responsibilities:

  • Clinical Operations Management: Organize, build, and manage the clinical schedules for twenty-eight (28) unique provider shifts per calendar day. This includes creating and maintaining daily schedules for Emergency Medicine physicians, fellows, and Advanced Practice Providers across five (5) independent emergency departments and one (1) Clinical Decision Unit adjacent to the main emergency department.
  • Resource Deployment: Effectively deploy a workforce of over one hundred physicians and Advanced Practice Providers to ensure adequate coverage across all clinical sites in Gainesville and Ocala.
  • Schedule Modification: Independently modify provider assignments based on changing service needs to ensure optimal coverage and efficiency.
  • Leave Management: Update and implement the department’s leave system, evaluate leave requests, and forward to the Chair for approvals or denials as needed. Approve or deny workforce leave requests to maintain adequate provider availability.
  • Financial Oversight: Support the development of the department’s annual budget by providing target staffing needs for clinical faculty and teams of physicians. Track and reconcile additional shifts, vacation, OPS, and incentive payments in ShiftAdmin to ensure appropriate compensation.

Additional Responsibilities

  • Reporting: Develop and manage the production of operating reports that inform stakeholders about the daily performance of the department’s clinical operations. This includes producing FTE reports and call completion reports to ensure assignments are met.
  • Collaboration: Work closely with various stakeholders to facilitate communication and enhance clinical operations.

Expected Salary:

The salary range for this position is $68,000-$75,500, commensurate with education and experience.

Minimum Requirements:

Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:
  • Strong leadership and organizational skills.
  • Proficiency in Microsoft Suite (Word, Excel, PowerPoint, Outlook), and data management technology.
  • In-depth understanding of hospital operations and the interdependence of education and clinical missions, along with knowledge of accreditation requirements for residency and fellowship programs.
  • Experience with EPIC and ShiftAdmin is essential for effectively managing day-to-day activities.
