Job Description:

The Academic Assistant II coordinates CES events and visitors; creates and distributes announcements, web and social media content; and provides administrative support to keep our academic and outreach programs running smoothly. The role contributes directly to the Center’s public image through high-quality promotional materials and creative design. Some evening or occasional weekend support for events may be required.

Key Responsibilities:

  • Plan and coordinate CES lectures, workshops, and other academic programs (rooms, tech, catering, parking, day-of support).
  • Communicate with speakers, visitors, and campus partners and assist with travel and logistics in line with UF/CLAS procedures.
  • Draft and post announcements, flyers, listserv messages, and social media content to promote CES programs and courses.
  • Help keep CES webpages and digital outreach (including podcast content) current.
  • Maintain participant/attendance data and support simple post-event reporting.
  • Serve as a first point of contact for students, faculty, and visitors and provide general office/program support.
Expected Salary:

The salary is $19 - $21 per hour, commensurate with qualifications and experience.

Required Qualifications:

High school diploma or equivalent and three years of relevant experience.

Preferred:
  • Experience coordinating events in an academic or higher-ed environment.
  • Familiarity with UF systems (myUFL/PeopleSoft, CLAS SSC processes, travel/reimbursement).
  • Proficiency in Microsoft Office and basic web/social media tools.
  • Strong written and verbal communication skills.
  • Interest in or experience with international, European, or area studies programming.
  • Ability to produce high-quality promotional materials and experience with creative/design tools (e.g., Canva, Adobe).
