Job Description:

The Event and Experiential Learning Coordinator supports the Department of Electrical and Computer Engineering (ECE) by planning and executing departmental events, developing and maintaining experiential learning opportunities for undergraduate students, and coordinating marketing and communications activities in partnership with the Herbert Wertheim College of Engineering (HWCOE) MarCom team. This role also contributes to advancing departmental research initiatives and provides general support for other programmatic needs. The position requires strong organizational, communication, and relationship-building skills to engage students, faculty, staff, alumni and other key stakeholders.

Event Planning & Coordination

  • Plan, coordinate, and execute a wide range of departmental events, including:
    • Academic seminars
    • Departmental seminars and colloquia
    • Technical conferences and symposia
    • Workshops and training sessions
    • Departmental meetings and special events
  • Manage event logistics such as scheduling, venue booking, catering, publicity, and technology support.
  • Collaborate with faculty, staff, and student organizations to ensure successful event execution.
  • Track event outcomes and provide post-event reporting and evaluation.

Experiential Learning Development & Maintenance

  • Develop and expand opportunities for undergraduate electrical engineering students to gain hands-on learning experiences in coordination with the Undergraduate Coordinator and Associate Chair for Education.
  • Support undergraduate student participation in faculty-led research labs and projects.
  • Develop and promote study abroad opportunities tailored to ECE students.
  • Engage with and support student professional groups and competition teams in collaboration with the ECE Industry Coordinator.
  • Maintain databases and tracking systems for experiential learning participation and student outcomes.

Marketing & Communications Coordination

  • Serve as the primary departmental liaison to the HWCOE Marketing and Communications (MarCom) team.
  • Facilitate and support connections between faculty and the HWCOE MarCom team for publicity needs, media requests, and content promotion.
  • Submit departmental content (e.g., news items, event highlights, student/faculty spotlights) to the HWCOE MarCom team for inclusion in newsletters, social media, and websites.
  • Monitor departmental website and social media platforms and communicate any minor content updates as needed to designated marketing staff.
  • Support the creation and distribution of promotional materials for events and experiential learning opportunities in collaboration with the HWCOE MarCom team.

Research-Related Program Development

  • Assist faculty and leadership in creating and managing initiatives that enhance the department’s research profile.
  • Support workshops, symposia, or networking events that highlight departmental research.
  • Facilitate collaborations with external research partners and stakeholders as needed.

Other Duties as Assigned

  • Provide general support for departmental activities in alignment with event coordination, experiential learning, and communications.
  • Assist with communications, reports, and documentation related to departmental programs.
  • Other duties as assigned.
Expected Salary:

$21.55 - $23.95 /hr; commensurate with education and experience

Required Qualifications:

Bachelor's degree; or an equivalent combination of education and relevant experience.

Preferred:
  • Experience in complex, executive conference and event planning with excellent organizational skills and flexibility to change.
  • Experience with planning, executing and evaluating programs, meetings and conferences successfully, including vendor selection, site selection, contracting and budgeting.
  • Experience with service procurement policies and practices and effective vendor management, to include contract negotiations.
  • Significant experience in project management, with the ability to manage details of multiple and complex projects with firm schedules and competing deadlines.
  • Experience with event planning, particularly in an academic setting.
  • Ability to function independently.
  • Strong multi-tasking skills and flexibility.
  • Ability to develop and implement innovative and creative approaches to seminal events.
  • Knowledge of University of Florida, State University System and government agencies.
  • Ability to deal with the public including government officials, alumni and other professionals in a courteous and tactful manner.
  • Ability to communicate effectively verbally and in writing.
  • Ability to establish and maintain effective working relationships.
  • Ability to follow verbal and written instructions.
  • Ability to track and follow-through on numerous projects as needed.
  • Ability to apply problem-solving techniques.
  • Skill in the preparation of correspondence and reports using a personal computer as well as knowledge of effective office procedures.
