| Job Description: |
Customer Service for routine and moderately complex customer network connection requests for port activations and deactivations in HSC buildings. • Acts as a resource for customers regarding policies, procedures, and processes and ensures compliance at the unit level. • Responsible for maintaining the unit workflow for specific types of customer requests. Ensures all requests in the service request Triage and Contractor queues for activations, deactivations and port reviews are handled in a timely manner with daily follow-up on all requests. • Ensure all work/costs are approved by the customer; and ensure accounting information is obtained prior to the commencement of contractor work and is entered into ticketing system and project management/tracking tools. • Interacts with contracted vendors as necessary to accomplish customer work requests. • Utilize Linkrunner tools as needed to perform on-site verification of ports to ensure that the requested activation/deactivation is applied to the correct wallplate, access telecommunication closets, switches and patch panels across the Health Science Center, and in satellite buildings which may require overnight travel. This position may perform pre-configured port changes on network switches. • Maintain accurate records for work performed by contractors for network connections at the HSC by entering notes and assignments into the service request system and internal project tracking tools. Resolve requests promptly. Liaison between customers and the vendors providing services to ensure that the requested network changes associated with port activations are accomplished on a timely basis and to minimize customer work interruption. • Ensure all documentation of “as built diagrams” and “cable pass/fail test reports” are received and are uploaded into the ticketing system if possible. • Assist with installation and support of network equipment (switches, routers, interconnects – fiber/copper) and UPS devices.
Responsible for the accuracy and verification of various records related to port data and billing. • Perform data entry for all HSC ports, including those coordinated by HealthNet Project Managers, into the port billing system and reconcile new data with existing data. Cross-reference multiple documents and records to review the port history and documentation of previous activity. Utilize experience working with this data, attention to detail, and good judgement to ensure that the port billing system data is correct. • Review vendor invoices for completion of work, appropriate documentation, customer satisfaction and accurate charges and approve payment and customer rebilling if appropriate. • Maintain and update the “HealthNet Project Tracking File” to ensure relevant job information including chartfield needed for customer rebilling for port activations is documented. This includes coordination with the fiscal specialist to resolve journal upload issues. • Assist HealthNet Administrative Specialist III with routine reports to alert customers to overrides in billing, and resolving questions about billing as needed.
In coordination with the Shands Asset manager, act as HealthNet property custodian for Asset Management, including scanning, applying asset tags, routing surplus requests, and other asset management tasks including annual inventory updates. Also responsible for managing space allocation for Healthnet.
Support and assist the HealthNet Project Manager as needed with unspecified network- related duties, documentation and communication to clients. Update documentation and recordkeeping for standard procedures as changes |

| Preferred: |
EDUCATION & TRAINING: An associate’s degree or IT certification in computer science. Cisco Certified Network Associate (CCNA) or similar network certification in process if not completed. EXPERIENCE: Experience in use of UF systems (including PeopleSoft, Ivanti and STARS). 4 years customer service and request routing experience (e.g., HelpDesk, dispatching, etc.). KNOWLEDGE - Knowledge of administrative principles and practices - Familiarity with the Ivanti or comparable service desk system (including creating/resolving requests) - Familiarity with UF Asset Management. SKILLS: Excellent Microsoft (MS) Office and TEAMS skills. ABILITIES - Ability to communicate effectively, both verbally and in writing - Ability to work independently - Ability to make administrative decisions - Ability to establish and maintain effective working relationships with others - Ability to acquire new skills through self-study and examination of pertinent documentation - Ability to work with people under demanding circumstances, while maintaining a professional, pleasant, and helpful demeanor - Ability to use mobile computing devices - Ability to communicate clearly in English |
