Job Description: |
Reporting to the Associate Director of Administrative Services, the Administrative Specialist II plays a pivotal role within Teaching and Technology Support Services, managing the daily fiscal administrative functions needed to support units reporting to the Associate Provost for the Office of Teaching and Technology, including COIP, UF Online, PWD, Operations Office and Assistant Provost and Sr. Director. This entails setting priorities and facilitating fiscal activities providing backup as appropriate in compliance with the relevant policies and procedures for the university.
Administrative Support – primary responsibility for critical office functions includes monitoring and routing postal mail and finance email inboxes. Processing accounts payable requisitions, invoices, travel and expense reimbursements for the units reporting to the Associate Provost. Interacting with suppliers. Processing accounts receivables/deposits for various units reporting to the Associate Provost. Assisting departmental staff in the interpretation of and compliance with relevant State and University guidelines and regulations for the purchase of and payment for goods and services and other programmatic-related disbursements.
Back up approver and auditor of university’s educational auxiliary expenditures, as well as creating and closing projects and assisting with reconciliation of units reporting to the Office of Teaching and Technology. Back up processor of E2Es and revenue journals ensuring financial compliance and accuracy.
Primary contact for asset management and software liaison for all units within the Associate Provost.
Assist director reviewing and approving financial pcard transactions ensuring backup and business purpose compliance with relevant rules and regulations. Process travel as needed.
Performs other duties and specific projects as assigned.

$46,000 - $55,000

Knowledge of state, university regulations, policies, and procedures. Ability to plan, organize, and coordinate work assignments. Ability to communicate effectively in writing and verbally. Ability to establish and maintain effective working relationships with others. Ability to work independently, utilizing problem-solving techniques. Experience with myUFMarketplace, UF GO, PeopleSoft, and Power BI.
