Job Description:

The Department of Community Health and Family Medicine, in the College of Medicine at the University of Florida, is seeking an Academic Assistant I. This position provides program coordination and administrative support for the Bioethics, Law and Medical Professionalism (BLMP) program. The Academic Assistant I plays a critical role in ensuring smooth operation of the program’s courses, research, and other faculty activities, while maintaining compliance with UF standards and confidentiality requirements.

Primary responsibilities include supporting the Bioethics, Law and Medical Professionalism (BLMP) program through coordination of educational activities, ethics services, and faculty administrative needs which include:

  • Coordinating BLMP course activities for first- through fourth-year medical students, including clerkships and electives
  • Organizing course syllabi, educational materials, and maintaining content in the online learning management system (CANVAS)
  • Scheduling classes, meetings, and discovery pathway sessions for the BLMP track in Medical Ethics and Law
  • Maintaining student communication regarding assignments, schedules, and program activities
  • Entering Academic Activity Reporting (AAR) each semester and tracking educational effort for reporting requirements
    Providing general faculty support including travel arrangements, calendar coordination, and forms management
  • Assisting with administrative duties such as meeting coordination, file management, and support for elective courses as needed

Office hours are 8:00 AM to 5:00 PM Monday – Friday

Expected Salary:

The salary range is between $17.50 to $18.50 and is commensurate with skills and experience.

Required Qualifications:
  • High school diploma or equivalent and two years of relevant experience
  • Proficiency with Microsoft Office applications (Word, Excel, Outlook) and the ability to quickly learn new software systems
  • Excellent verbal and written communication skills, with strong attention to detail in spelling, grammar, and formatting
  • Strong organizational and time-management skills with the ability to prioritize multiple tasks and meet deadlines
  • Ability to exercise discretion and maintain confidentiality, particularly when handling sensitive consult information
  • Demonstrated ability to plan, coordinate, and implement complex administrative tasks independently with minimal supervision
  • Strong interpersonal skills with the ability to work collaboratively with faculty, staff, students, and external stakeholders
  • Flexibility and adaptability in managing changing assignments, processes, and priorities
Preferred:
  • Bachelor’s degree or higher in education, healthcare administration, business, or a related field
  • Experience working in higher education, medical education, or an academic health center setting
  • Knowledge of UF administrative processes, academic activity reporting, and course management systems (Canvas preferred)
