Job Description:

This role is a critical part of the Department’s outreach and engagement efforts, with a strong emphasis on event planning and coordination. As the department’s go-to for orchestrating high-impact experiences, this position will lead the planning and execution of seminars, symposia, and signature events that showcase our faculty, students, and research.

Key responsibilities include:

Organizes academic symposia, educational special events, research seminars, and departmental, and research events.

Independently, and in conjunction with key faculty and staff, organizes the Annual Neuromuscular Plasticity Symposium, weekly Neuromuscular Plasticity summer seminar series, Rehabilitation Science seminar series, and other departmental and research meetings. These responsibilities include managing communications and coordinating all logistical aspects of these events such as:

  •  Recruits and organizes speakers and symposium scholars, arranging travel logistics and meeting itineraries, as needed.
  • Manages event logistics—including room reservations, catering, A/V, facilities, equipment, signage, and decorations—while overseeing public relations activities to effectively promote events.
  • Monitors, tracks, and maintains event budgets in collaboration with the Assistant Director of Administrative Services.
  • Formulates committee meeting agendas.
  • Liaison and primary point of contact for T-32 trainees, preceptors, and departmental faculty and administration during T32-sponsored events and for ongoing website and T32-public relations.
  • Works alongside team members on renewal and periodic reports of T-32 and K-12 student and faculty training grants including gathering and coordinating seminars, and other data.
  • Works alongside team members to produce special educational events such as open houses, orientations, applicant visit days, graduation events, alumni, and other special events.
  • Coordinates marketing efforts for these events using social media, web, written content, etc. as relevant to the event.
  • Creates programs, agendas, or itineraries, maintaining guest list, and communicating with participants as needed.

Assists the administrative specialist with organizing, coordinating, and implementing departmental events such as holiday and retirement parties, and special departmental lunches/events, making sure that all pertinent UF and State rules and regulations are adhered to (such as alcohol policies, maintenance requirements, etc.) as needed.

Marketing, Public Relations, Information Coordination, Website, and Other Media responsibilities.

Serves as the primary coordinator of the department’s marketing efforts, assessing communication needs through relevant research, stakeholder input, and guidance from the department’s Marketing Committee. These responsibilities include:  

  • Plans, designs, and maintains content for the Department of Physical Therapy and Rehabilitation Science websites, implementing updates and optimizing functionality based on requests from faculty, the Associate Director of Education, and college marketing staff.
  • Coordinates multiple media campaigns to strategically promote the department’s educational, service, and research endeavors.
  • Creates, updates, and implements a strategic departmental marketing plan with input from stakeholders.
  • Evaluates current marketing trends and research to provide a strategy for marketing and communication efforts.
  • Leads outreach initiatives to publicize the department’s programs, events, and research achievements internally and externally.
  • Develops and publishes advertising materials for the Department of Physical Therapy programs and events.
  • Coordinates social media accounts, including designing contemporary strategies and content that appeals to the department’s various audiences.
  • Solicits faculty, staff, students, alumni and other stakeholders to develop content that can be utilized in marketing efforts and department bulletin boards.
  • Identifies potential marketing channels such as websites, social media, and professional publications (e.g. journals and literature) to promote department programs and activities.
  • Gathers, writes, and distributes department news releases, educational program newsletters, monthly college newsletter, and website news. Routes materials for review through UF Health Science Center News & Communications and archives materials in central repository.
  • Prepares flyers of presentation summaries for annual and national professional meetings (i.e., CSM and APTA).
  • Investigates and recommends software and other tools that will assist in marketing and communication efforts.

Special Projects

  • Assists with ad hoc travel for VIPs and other special event speakers and guests.
  • Provides assistance to education staff and faculty as requested.
  • Serves on the Department of Physical Therapy education team; attends monthly DPT entry level and general faculty meetings and contributes to the mission of the department’s education programs.
  • Completes other duties as assigned. 
Expected Salary:

$57,000 - $64,000 annually, commensurate with education and experience.

Required Qualifications:

Bachelor's degree and two years of relevant experience; or an Associate’s degree and four years of relevant experience; or an equivalent combination of education and experience.

Preferred:

A bachelor’s degree in marketing, public relations, event management, or related field.

Experience with marketing and event planning.

Proficient knowledge of Microsoft Office Suite (e.g., Excel, Word, and PowerPoint), graphic design software, and WordPress.

Demonstrated attention to detail, organization, critical thinking skills, and communication skills.

Experience engaging with external speakers, researchers, or similar stakeholders in a professional, high-visibility capacity.
