The Stewardship & Donor Relations Coordinator is a highly visible and responsible position that provides project management support to various members of the UF Health’s Stewardship & Donor Relations team. Reporting to the Director of Donor Relations, this position will support and assist in the execution of comprehensive campuswide donor acknowledgement and recognition to strengthen donor engagement and philanthropic support to the University of Florida. Additionally, this role will maintain donor giving information, coordinate logistics for donor events, communicate with and steward donors, and support the leadership team in all individual donor fundraising activities.

Stewardship Project Management
- Work directly with the Director of Donor Relations in coordination of donor recognition, such as the selection of plaques and awards.
- Manage a complex matrix of weekly stewardship letters and reports for the Dean of the College of Medicine, the Senior Vice President of Health Affairs and the Chief Executive Officer of UF Health Shands.
- Manage the ongoing refinement and maintenance of:
- UF Health’s donor wall, which include gifts made through Shands, Southeastern Research and the UF Foundation.
- Children’s Miracle Network donor recognition display.
- Department of Urology, the Department of OBGYN, and the Department of Orthopaedics donor wall update each year.
- Establish and manage information tracking processes regarding acknowledgement, recognition, on-going communications and continued cultivation of past and current major donors to enhance their relationship with the University and increase the likelihood of continued contributions.
- Compile donor and prospect reports using Advance and other database information to assist in stewardship and donor relations and to support the outreach efforts of the Director of Donor Relations. Attend meetings with the Director of Donor Relations.
- Manage the stewardship responsibilities of the development staff by assisting them in establishing, coordinating and carrying out individualized stewardship plans for donors to UF Health and the College of Medicine.
- Maintain and enhance a large inventory of select stewardship gifts and manage standards and conveyance of custom gifts for principal gift donors.
- Serve as a key liaison for training faculty, fund administrators and office administrators on the use of the AER Portal in conjunction with the Central Donor Relations office, manage the process of the annual endowment reports for the Health Science Center, the College of Medicine, the College of Medicine – Jacksonville, the Proton Therapy Institute, UF Health Shands and UF Health Jacksonville.
- Serve as a key role in implementing and achieving the goals of the UF Health’s Stewardship and Donor Relations Office.
Donor Relations Project Management
- Engage with donors to confirm preferred naming conventions for recognition, particularly in regard to capital projects.
- Provide exceptional stewardship for visiting VIPs and Leadership Council members through preparation of custom hotel baskets, arrangement of hotel reservations, transportation and other services.
- Manage the Thanksgiving and Holiday card process, this includes ordering cards for UF Health and the College of Medicine, working closely with development staff to acquire top prospect & donor lists, coordinate signatures and messaging with the College of Medicine Dean, the CEO of UF Health Shands and the President of UF Health.
- Manage the UF Health concierge suites in the UF Health Cancer Hospital and the Heart and Vascular and Neuromedicine Hospitals, this includes managing the room reservation calendar, assuring the room is cleaned and stocked after each use.
- Work closely with the Director of Donor Relations in organizing the Annual Student Thank You Note event.
- Work with DIS to order new data pulls for the UF Health Partner’s in Medicine Program. Coordinate with outside vendor in mailing the new members a Welcome to the Partner’s in Medicine program packet.
- Play a key role in assisting the Director of Donor Relations in planning and implementing the Partner’s in Medicine recognition event.
- Serve as liaison to major donors for UF Health organizing special donor events, stewardship functions and/or tours, this includes contracts with vendors, menu selections, and calendar coordination for all constituents.
Administrative
- Work with staff, volunteers and/or donors. Handle public interactions for the office in a professional manner. Help volunteers and/or donors on special projects if needed in absence of development directors.
- Maintain confidentiality of all information entrusted to the position.
- Prepare reports and graphs as requested insuring accuracy of data and clarity of presentation.

The ideal candidate will possess:
- Three to five years’ experience in a fundraising environment with specific experience in special events and donor stewardship.
- Prior experience in development, fundraising, alumni relations or Higher Education.
- Strong business acumen.
- Strong PC skills. Expert in MS Word and Excel.
- Experience with customer or donor databases required.
- Exceptional written and verbal communication skills, strong interpersonal abilities, and the capacity to engage effectively and collaboratively with a wide range of individuals are essential.
- A commitment to and support for workplace inclusion in all its forms; demonstrated success collaborating with stakeholders; strong project management skills; experience in a data-driven environment; excellent organizational abilities; and the capacity to lead, influence, and inspire others are essential
- Ability to conceptualize, develop and utilize innovative materials and resources in support of donor relations.

- The ability to manage multiple projects simultaneously.
- Experience in donor recognition principles and practices.
- Be highly ethical and able to maintain confidential information.
- Effective multi-tasks skills, establish priorities, and work in a fast paced environment.
- The ability to be highly efficient in time management and can meet deadlines under pressure
- The ability to work efficiently with minimum supervision; communicate clearly and accurately verbally and in writing; and experience dealing with the public in a professional manner is also required.
- Proficient in the following areas: Windows operating systems, Microsoft Word, Excel, and Access, as well as internet browsers and email platforms. Familiarity with donor databases, contact management systems, and tracking systems is also highly preferred.
- Off campus travel may be required. A valid driver license and good driving record are essential.
