– Accounts Receivable
• Responsible for weekly and monthly internal and external billing for designated business and service units within Business Services
• Respond to customers inquiries regarding invoices and charges
• Update postage accounts receivable system: maintain database of internal and external customers, create mail slips, update their billing info, contact info etc.
• Follow up on outstanding accounts receivable for designated business and service units and collect past due accounts
• Prepare daily deposits in PeopleSoft
– UF Mail Services
• Responsible for duties within out-processing section of mail services as follows: track postage meter balances; verify funds in reserve and permit accounts; and deposit funds as needed
• Prepare monthly mail statistics spreadsheet for incoming mail, outgoing mail, and Health Sciences Center mailroom, based on data received from managers
• Develop written procedures and implement improvements to streamline outgoing mail processes
• Serves as a backup for input of customer charges in mailing software, including Postage Due, Business Reply, Permit 94, and Special Services– Administrative Support Functions
• Serve as back-up Passport Agent for the Passport Acceptance facility; maintain annual certification as a US Passport Agent; assist students, faculty, and staff and the general public by telephone and in person by responding to inquiries regarding the application process for US Passports; execute passport applications; take passport photos
• Serve as a Florida Notary
• Responsible for developing written procedures for assigned duties; update procedures as needed
– Develop reports, handle special projects and other duties as assigned
This position is required to serve as a back-up Passport Agent. For certification, the employee must: meet the eligibility requirements for a US Passport Agent as set forth by the US Department of State; complete the online US Passport Agent Training with a passing score; comply with requirements to re-certify as a passport agent annually.
The US Department of State requires that US Passport Agents meet the following criteria:
1. Be eighteen years of age or older
2. Provide evidence of US citizenship
3. Not be presently on parole or probation related to any federal, state, or local felony or misdemeanor
related to breach of trust or moral turpitude (i.e. embezzlement, document fraud, drug offense, or
dishonesty carrying out a responsibility involving public trust)
4. Not be presently under indictment for any federal, state, or local felony or misdemeanor related to
breach of trust or moral turpitude
5. Be free of any federal, state, or local felony or misdemeanor convictions related to breach of trust or
moral turpitude
NORMAL WORK SCHEDULE:
Normal work schedule: Monday through Friday, 8:00 am to 5:00 pm
