Join the University of Florida’s School of Physician Assistant Studies as our Clinical Year Coordinator!
We are seeking a detail-oriented and motivated professional to serve as the Clinical Year Coordinator (Academic Program Specialist I). In this role, you will support 60 Physician Assistant (PA) students through their clinical year, managing rotation scheduling, credentialing, and program oversight to ensure they remain on track for graduation. Working closely with the Director of Clinical Education, you’ll coordinate rotation logistics, maintain clinical databases, process affiliation agreements, and provide guidance to students as they navigate their clinical training.

More About This Role
Clinical Year Rotation Management
- Manages clinical requirements and electives to ensure students remain on track to graduate on time.
- Tracks clinical site availability each year. Maintains clinical site and preceptor information in clinical database, to include reporting instructions, preceptor capacity, required site credentialing, etc.
- Assists the Director of Clinical Education by developing the clinical schedule and student rotation assignments for 60 students and their independent 12 four-week clinical rotations.
- Builds the new class into the clinical management system and maintains student schedules and credentialing.
Clinical Year Program Oversight
- Coordinates monthly educational activities to include exam scheduling, monitoring of evaluations and other student requirements.
- Calculates and enters grades on behalf of the Director of Clinical Education to meet UF deadlines.
- Advises clinical student inquiries during clinical rotations; assists as appropriate or triages inquiries to appropriate contact.
- Provides clinical year reporting as needed for department, college and accreditation needs.
- Creates and maintains processes for effective data collection, management, and dissemination for the Director of Clinical Education and accreditation purposes.
- Identifies problems and proposes possible solutions to the Director of Clinical Education.
- Provides back-up for PA School Registrar/Clinical Year Assistant.
Clinical Year Credentialing
- Coordinates credentialing materials for more than 200 clinical locations, and ensures students have submitted appropriate documentation in a timely manner.
- Creates and maintains processes necessary to enable students to begin clinical rotations, to include background checks, drug screens, immunization documentation, health screenings, etc.
- Collects and organizes preceptor information to obtain documentation to establish courtesy appointments.
- Assists Director of Clinical Education in establishing legal Affiliation Agreements with hospitals and private physician offices in cooperation with the HSC Contracts office.
Other Duties as Assigned
- Other duties as assigned by PA School leadership
- Collaborates with COM Event Manager and participates in PA events.

Preferred Qualifications: |
- Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook), Google/G-Suite, and Windows Platform
- Ability to collect data and create reports
- Self-starter willing to learn new programs and systems
- Excellent attention to detail and organizational skills with an eye for accuracy and quality
- Ability to organize, prioritize, and manage multiple projects, complex tasks, and deadlines independently
- Experience with course management and familiarity with health sciences courses
- Knowledge of UF registration and grading systems
- Excellent written and verbal communication skills
- Excellent time-management and problem-solving capabilities
- Communicates clearly and professionally with faculty, staff, and visitors – in person, via written communications, and on the telephone
