Job Description: |
Establish priorities and deadlines for administrative team. Maintain a database of industry organizations, and state legislative contacts. Understand and ensure compliance with UF/IFAS policies and procedures. Oversee office and administrative activities such as travel requests, the booking process for travel/conferences, and collection of receipts. Ensures office supplies are ordered in a timely manner.
Act as the primary contact for the unit, addressing inquiries from legislative and agency staff, UF/IFAS faculty, and the public. Communicate with legislative staff regarding UF/IFAS related issues to stay up to date on legislative information and schedule meetings with legislators. Use independent judgement to respond to routine legislative inquiries from external and internal stakeholders. Provide up to date legislative information to UF/IFAS and to external clientele including agriculture industry representatives and others as needed. Conduct legislative update presentations to stakeholders and faculty. Coordinate planning and organizing of department events.
Monitor legislation related to appropriations, education, agriculture, environmental protection, and health care. Research and draft reports, presentations, materials, and articles, on UF/IFAS budget, policy issues, and projects. Attend and prepare for legislative meetings, ensuring thorough preparation and follow-up.
Attend conferences and assist with hosting legislative events as directed. Coordinate logistic arrangements for conferences, legislative meetings, and other related events. This will require overnight travel.
Serve as a liaison for the UF/IFAS Council on Agriculture, Research, Extension and Teaching (CARET). Coordinate annual congressional visits for CARET. Provide relevant information and material for lobbying efforts to CARET delegates.

Required Qualifications: |
Knowledge of office procedures and practices Knowledge of principles and techniques of effective verbal and written communication. Knowledge of the techniques for handling telephone calls and information requests in a courteous and efficient manner. Knowledge of standard business formats and styles for letters and business forms. Knowledge of correct spelling, punctuation and grammar usage. Knowledge of basic filing practices. Knowledge of basic arithmetic. High level of verbal and written communication skills. High level of critical thinking and problem-solving skills. Ability to communicate effectively, verbally and in writing. Ability to establish and maintain effective working relations with others. Ability to handle telephone calls and information requests in a courteous and effective manner. Ability to plan, organize and coordinate work assignments. Ability to organize files and other records. Ability to use correct spelling, punctuation and grammar. Ability to type letters, memoranda and other standard business forms in correct format. Ability to perform arithmetical calculations.

Special Instructions to Applicants: |
Normal work schedule: M-F; 8:00am-5:00pm; 1 hour lunch
Position regularly requires overtime during legislative sessions, special sessions and related meetings. Employee must be on call for legislative meetings that may take place before/after-hours and/or weekends. Employee may be requested to attend legislative events.
Position occasionally requires travel for meetings or events. Sometimes overnight travel is required.
