Job Description:

The Office of Admissions is seeking a dynamic and organized Admissions Events Coordinator to join our team. In this role, you will be responsible for planning and executing events and meetings that support admissions efforts, as well as assisting with general admissions counseling and application review.

Key responsibilities include, but are not limited to:

Event Planning 

  • Research, plan, and manage admissions events, including booking venues, organizing catering, arranging transportation, and managing other logistical details to ensure a smooth and successful event experience.
  • Coordinate schedules, secure necessary permits, arrange for audio-visual equipment, create and distribute event materials, and oversee the overall event timeline.
  • Manage on-site logistics and operations for campus events, collaborating with internal staff and external campus partners.
  • Respond to issues and ensure all aspects of the event are implemented as planned.
  • Supervise student assistants assigned to work at the event.

Project Management and Operations

  • Manage event-specific budgets, researching and purchasing facilities, food, parking, and other logistics to ensure successful event execution.
  • Track expenses to ensure they remain within budget and compile a final expense report.
  • Travel occasionally for off-campus events, both in and out of state. This includes handling admissions materials (up to 40lbs) and operating a state vehicle when necessary.
  • Compile guest and campus partner feedback to highlight strengths and areas for future improvement.

Admissions Counseling and Application Review

  • Assist with general admissions counseling and freshman holistic application review process.
  • Advise departments and applicants via phone, email, and in-person about additional credentials.

 Other Duties

  • Perform other duties as assigned by leadership, which may include assisting with special projects or supporting other areas within the Office of Admissions.
  • Support the management of the Office of Admissions lobby.

This position is located at the University of Florida's main campus in Gainesville, FL. The selected candidate will work on site and may be eligible for a flexible, hybrid work arrangement in accordance with the University of Florida and Division of Enrollment Management's policies.

Expected Salary:

$55,000 annually

Required Qualifications:

A bachelor's degree in an appropriate area of specialization and three years of appropriate experience; or a high school diploma and seven years of appropriate experience. Appropriate college coursework may substitute at an equivalent rate for the required experience.

Valid driver's license is required.

Preferred:
  • 3+ years of experience in event planning preferred
  • Strong organizational and time management skills with a proven track record of successfully managing events
  • Demonstrated abilities in problem-solving and attention to detail
  • Ability to exercise good judgment and work with minimal supervision
  • Strong interpersonal skills and a demonstrated ability to work and communicate with a variety of stakeholders
