Job Description:

Transfer Credits

Reviews and processes graduate transfer credit and master’s degree acknowledgement (MDA) requests. This involves referencing and researching multiple areas of materials including the student’s official transcripts, academic program(s), prior degrees, related documents and other coursework. Frequent consultation with the UF Division of Enrollment Management is required throughout the process and before forwarding to the Division of Enrollment Management for the addition of transcript remarks. This process includes the review of course work from UF and Non-UF (domestic and international) institutions, participation in Traveling Scholar, Study Abroad and or Exchange Programs, and specialized degree programs approved by the Graduate Council. Responsible for processing petitions related to transfer credits.

Conditional and Special Admissions

Evaluates, processes and makes decisions regarding graduate applications for applicants who do not meet the minimum requirements for graduate admission at UF. This involves using the Slate system, evaluating all application materials and issues, communicating with academic units, graduate coordinators and graduate faculty. These processes will frequently involve requesting and reviewing petitions and elevating to supervisor as needed. Students requiring holds will also be monitored during their first term of enrollment at UF. Frequent consultation with both campus personnel and the Office of Admissions is required throughout the process and prior to admitting the student.

Tracks UF policies related to admissions and transfer of credits; for example: 10% of conditional applicants

Combination Degrees

Reviews and processes applications for graduate students seeking to participate in a combination degree program such as, joint PROF/GRAD, and concurrent and/or nontraditional doctoral/ master’s degree programs. Responsibilities include, but are not limited to, identifying students that may be pursuing a combination degree to address requirements and adherence to university and SACSCOC guidelines. This position must also complete verification of appropriate approval levels, identification of academic program deficiencies, and resolution of identified issues. Works closely with graduate faculty, graduate students, and graduate administrative staff to resolve identified issues and disseminate procedural protocols and policies. Updates and/or corrects graduate students degree program data in the appropriate University electronic systems.

Service to Unit Academic Staff, Graduate Coordinators, and Graduate Faculty

Answers questions, resolves issues, and offers guidance or directs campus personnel to an appropriate office for assistance.

In collaboration with the Graduate School Admissions and Transfer Credit team, develops and provides training for academic staff, Graduate Coordinators and faculty as related to Graduate Council policies, processes and systems required to support graduate student admissions and transfer processes.
Processes forms and reports relating to graduate student's academic program during and after conditional and special admission. Works with the UF Division of Enrollment Management, including the  UF Office of Admissions, and other administrative units, faculty, and staff, on a regular basis to carry out policy consistent with the Graduate Catalog, Graduate Council, and University of Florida regulations.

Maintenance of Graduate Student Records

Maintain and review processes to track and manage student records. Responsible for ensuring that all related programs and activities comply with university, state, and federal regulations. Complies with the Family Rights and Privacy Act of 1974 (FERPA) and makes recommendations to administrative procedures to improve the process for maintaining graduate student records.

Expected Salary:

$46,000-50,000

Required Qualifications:

Bachelor's degree and three years of relevant experience; or an equivalent combination of education and experience.

Preferred:

Excellent customer service, verbal and written communication skills. Knowledge of the Student Information System, GIMS, PeopleSoft (UF Portal), and other UF IT systems to reference multiple data sources to identify problems and resolve discrepancies within established protocols. Ability to communicate professionally in multiple channels and a commitment to completing team missions via individual and group efforts. Knowledge of the graduate degree programs and policies for masters, engineer, specialist, and doctoral programs.
