Job Description:

The Department of Medicine, Division of Hospital Medicine is seeking a full-time Manager of Health Care Administration to oversee the daily operations of the administrative office, ensuring optimal support is provided to division leadership, faculty and administrative staff. The manager will oversee the day-to-day administrative functions of the hospital medicine administrative office, including scheduling of faculty and staff, assisting with budget preparation and monitoring expenses. Hiring, training, and supervising staff, and providing guidance and leadership to ensure high levels of performance and office morale.

Essential Functions;

Daily Operations Support
• Plans and coordinates department activities by scheduling work assignments, setting priorities, and directing the work of subordinate employees. This would include direct reports of 1 administrative assistant, 1 medical assistant, and 4 OPS student assistants.
• Participates in the planning and administration of departmental and project activities. Working directly with division administrator and senior Faculty to strategize and create tracking mechanisms for projects or initiatives.
• Establish operational goals and objectives that align with the overall strategic plan. Working with division leadership to establish goals and initiatives for admin staff and medical assistants, then implementing processes and strategies to meet goals.
• Coordinating Faculty annual review meetings, formatting paperwork and obtaining necessary signatures

Fiscal Management Support
• Assist Division Assistant Director with budget planning and management
• Generating and submitting monthly Faculty shift tally reports and submitting additional duty payouts for Faculty, residents, fellows and OPS Faculty
• Updating the Faculty FTE Reduction table tied to new Comp Plan
• Reconciling Hospital Medicine’s and the Care One Clinic’s General Ledger
• Monthly reconciliation of shift payments
• Assisting the director with monthly variance reports
• Tracking division operating expenses and implementing cost-saving measures where applicable 
• Reviewing bi-annual Faculty incentive payments for the Division Administrator
• Reviewing monthly Faculty scorecard data tied to productivity and incentive payments
• Run standard Business Objects reports and format data for use in determining Divisional progress versus goals.

Personnel Management Support
• Advises faculty, staff, and administrators regarding university policies and procedures related to the assigned area. This would be performed when onboarding Faculty and staff as well as communicating institutional updates to the division, as needed.
• Serves as a link between management and employees by handling questions, interpreting and administering policies/procedures, and resolving work related problems.
• Create and maintain a work schedule for admin staff
• Coordinating and approving time and PTO requests for non-exempt staff 
• Meeting regularly with admin staff and medical assistant to bring forth idea, questions and concerns to leadership regarding office processes, procedures and other issues as they arise.
• Supporting admin staff with their professional and personal goals, including encouraging professional development such as training courses, certifications and joining professional groups.
• Authorizing purchases based on yearly OE budget
• Approving UFGO and myUFmarket transactions- PCard purchases, reimbursements, Travel, etc.

Project Management/Miscellaneous
• Serve as administrative leader for the development of the faculty scheduling process
• Development and implementation of special projects as needed
• Any other duties, as needed, to fulfill the mission and to abide by the values of the College of Medicine.

Expected Salary:

$65,000 - $70,000 Annually

Required Qualifications:

Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

Preferred:

• Strong leadership and team management abilities
• Excellent communication and interpersonal skills
• Financial acumen and budget management experience
• Ability to manage multiple priorities and adapt to changing environments
• Working knowledge of various computer programs: Microsoft Word, Excel, Power Point, Teams, Zoom, Docusign and Adobe
