Job Description:
The Assistant Director of Process Management provides strategic oversight and leadership for a broad range of administrative and operational functions within the Dean’s Office divisions and departments within the College of Medicine. This role also holds primary responsibility for financial operations within the College of Medicine, encompassing deposits, effort reporting, financial reconciliations, asset management, journal entries, and audits, along with a specialized focus on UF GO, procurement, purchasing, and travel.
 
Serving as a key advisor and project lead, this position supports strategic initiatives designated by the Chief Operating Officer and Chief Financial Officer, fostering collaboration with stakeholders across the College of Medicine, UF Health Science Center, the University of Florida, UF Health, and external state, federal, and local agencies. Additionally, the Assistant Director plays an integral role in the development, evaluation, and implementation of policies and procedures within the Office of the Dean, working closely with leadership to drive operational efficiency and compliance.
 
This position is also responsible for directing and standardizing administrative and financial processes across the College of Medicine, ensuring alignment with best practices and the achievement of high-quality outcomes.
 
Key Responsibilities include:
  • Serve as the primary subject matter expert and resource for financial operations within the College of Medicine, encompassing deposits, effort reporting, financial reconciliations, asset management, journal entries, and audits, along with a specialized focus on UF GO, procurement, purchasing, and travel.
  • Act as the central authority for travel and procurement card (P-Card) transactions within UF GO, optimizing service delivery and user experience for COM faculty and staff.
  • Support the strategic planning process by assisting in the development and execution of key College of Medicine initiatives.
  • Lead the design and implementation of new projects and expanding initiatives in coordination with the Chief Operating Officer (COO) and Chief Financial Officer (CFO).
  • Develop and implement tailored training programs with a focus on onboarding new hires and staff transitions.
  • Provide responsive and proactive assistance to departments experiencing staffing shortages or requiring additional guidance on administrative and financial processes.
  • Oversee and execute special projects within the Dean’s Office, including data analysis and reporting for the Chief Operating Officer and Chief Financial Officer.

Expected Salary:

$95,000 - $105,000; commensurate with education and experience.

Required Qualifications:

Master's degree in an appropriate area and two years of relevant experience; or a bachelor's degree and four years of relevant experience.

Preferred:
  • Strong understanding of business management principles, including fiscal operations.
  • Proficiency in UF and FCPA regulations, policies, and procedures.
  • Proficiency in financial software, particularly UFGO, Enterprise Analytics, PeopleSoft and advanced spreadsheet tools (ex. Excel).
  • Ability to contribute to and implement strategic fiscal and operational plans aligned with organizational goals.
  • Experience in financial analysis to support strategic decision-making.
  • Strong organizational and project management skills.
  • Excellent analytical and problem-solving skills.
  • Strong written and verbal communication skills.
