Job Description:

Specific job duties include:

  • Serves as a public contact for the Office of Academic Affairs, handles correspondence and other documents, manages office supplies. Sets the tone for interacting with other business functions or units. Intervenes with highly difficult people and situations. Provides clerical support for office faculty and staff.
  • Coordinates and maintains schedule for the Associate Dean of Academic Affairs, approves reservations and manages rooms for courses and student use (Outlook).
  • Coaches and works with OPS student assistant to train on and assign specific tasks and monitor for completion.
  • Plans and coordinates departmental or program events.
  • Handles multiple initiatives at the same time and integrates them into a comprehensive plan.
  • Monitors complex or unforeseen dependencies and responds accordingly.
  • Helps colleagues integrate strategic goals and tactical priorities. Contributes as a member on a variety of teams.
  • Promotes and facilitates the effective dissemination of information among students, faculty, and support staff.
  • Consults on process optimization approaches, tools, and techniques. Uses advanced technological tools to process and maintain student leave records, perform degree verifications, manage rotation swaps, and other applicable student forms (Salesforce, WordPress, axiUm, Tableau, etc.).
  • Uses advanced technological tools to process and maintain student leave records.
  • Maintains Continuing Education and elective records, and revises Class Forums with up-to-date data. Inputs or retrieves data relating to applications, student enrollment, course scheduling, grades, and course and instructor evaluations.
  • Works with other members of the Office of Academic Affairs to revise and publish Student Handbook. Provides additional student support by managing DMD Program websites, and bulletin boards.
  • Supports the Curriculum Committee including scheduling monthly committee meetings and pre-planning meeting with the Chair/Vice Chair/Assoc Dean for Academic Affairs/ Associate Director of Curriculum, obtain rsvp’s to ensure a quorum, schedule rooms and/or send zoom links, linking handouts on the Sharepoint agenda, linking approved minutes on the Shared Governance website and assisting with the Annual Report.
  • Coordinates Teacher of the Year awards for the college and helps with the other teaching and academic awards.  Creates ballots, collects data, and reports to UF office.
  • Provides additional administrative support to the OAA staff as needed.
Expected Salary:

$19.15 - $20.59 per hour; commensurate with education and experience

Required Qualifications:

High school diploma or equivalent and three years of relevant experience.

Preferred:

• Excellent organization skills and use of project management tools (such as Microsoft Planner or Trello) to support the management of administrative and academic tasks.
• Competent in: Microsoft Office Software (i.e. Word, Excel, PowerPoint, Teams).
• Experience with using Outlook and scheduling client.
• Experience with Zoom, Salesforce, WordPress, and Gravity Form.
• Need attention to detail. 
• Resilient, flexible, and able to multi-task.
• Ability to work in a dynamic team environment.
• Excellent written and oral communication skills.
• Excellent interpersonal skills.
