Job Description: |
The Administrative Support Assistant II will provide support to faculty and staff located in the department of Medicinal Chemistry in the College of Pharmacy. This position requires an individual to manage many tasks, and must exercise professionalism and effective communication skills when interactive with faculty, staff and students. The individual is expected to work independently with minimal supervision and must be proactive with assignments, have attention to detail, and take ownership of their responsibilities.
Operations Support: • Maintain calendar, schedule appointments/meetings for MC Chair/CNPD3 director • Answer/make phone calls • Assist in developing and monitoring annual operating budgets and expenses • Work with SSC HR for new hire/employee/volunteer setup • Work with SSC regarding travel and research budgets • Develop and maintain professional relationships with agencies, collaborators, donors/companies • Assist faculty with publishing needs • Assist in tracking volunteers and research scholars • Support as a liaison with SSC to identify needs and communicate pertinent information
Other daily operations: • Maintain files and departmental records • Order related activities (packing slips, assigning orders to specific accounts, etc.) • Package receipt and preparation for pick up (FedEx, Fisher, etc.) • Mail distribution and delivery of packages • Departmental key management • Assist with travel coordination seminar/visitor schedules and expense reports • Assist with PCard reconciliation process • Other basic/routine/simple duties as assigned
Outreach: • Host speakers and research events (e.g., CNPD3 symposia) • Announce seminars and other activities to UF/HSC/COP community • Coordinate travel and itineraries for visiting scientists and guests • Promote CNPD3/MedChem interactions with other UF/HSC Centers and departments and biotech • Frequent updating of Med Chem and CNPD3 website
Serve as backup for other administrative support staff.

Expected Salary: |
$21.50/hour - $23/hour

Minimum Requirements: |
High school diploma or equivalent and four years of relevant experience.

Computer processing skills and attention to detail.
Excel and Word experience.
