Job Description:

The Department of Medicine, Administration is seeking a full time AST DIR, Research Admin. This position serves to support the Research Administration team with a focus on providing administrative and financial support to principal investigators and division administrators. This position reports to the Associate Director of Finance and serves as a departmental liaison to the College of Medicine Research Office and UF Office of Sponsored Research.  Key responsibilities include maintaining departmental research infrastructure/best practices, oversight of central clinical trials team, ensuring compliance with university, college and department policy and cross-team collaborations with department finance, fiscal, asset and HR teams.  The incumbent must be highly organized and motivated individual with a capacity for hard work, able to work within team and have strong customer service skills. The ideal candidate will have at least five years of supervisory experience and a minimum of four years of experience in research administration.

Essential Functions;

Management and Supervision of Research Administration
Responsible for development of department policies, procedures and training related to pre & post award management. Prepares monthly department audit reports, handles ad hoc report request from department advisory council, onboarding of new division administrators, and serves as liaison for the Department of Medicine faculty, the VA Research Office, College of Medicine Office for Research, the Division of Sponsored Research, and granting agencies. Supports team manager in day-to-day operations of the team.

Works with department leadership in preparation of the annual departmental budget.  Responsible for reviewing and updating budget workbook tools used by team, ensuring the completeness of funding verification and following up with division administrators related to errors and unfunded research. Ensure team enters annual distributions in accordance with sources approved during budget. Assisting with post budget funding issues or errors, as well as corrections needed for proper effort certification.

Assists principal investigators with complex proposals and grant transfers and Division Administrators in all aspects of financial management, including the development of budgets and related documents for contract and grant request, and reviewing contract and grant proposals for accuracy, completeness, and compliance with approved policies and procedures before submitting to the chairman, or his authorized designee, for signature.

Responsible for the oversight and strategic direction of the Department of Medicine’s central clinical trials team (the SMART team).  Ensure that staff are appropriately managing the trials and funds for the clinical trials directly managed by the group, developing training materials and assisting with onboarding of new divisional clinical trials staff, and serving as a liaison with relevant campus offices for the management of clinical trials.  Recommend departmental standards and organizational optimization for clinical trials.

Coordinate preparation of monthly PI reports, Departmental reports (balance, date, distribution and action plans).  Review monthly for completion and ensures actions are appropriate and completed timely.  Ensure negative balances are corrected in a timely manner.  Serves as department effort coordinator ensuring communication of deadlines and provides effort reporting training to division administrators to ensure entry and compliance.

Develop systems to monitor expenses to ensure compliance with agency guidelines. Responsible for funds monthly reconciliation and ensures that funds are used in the proper category.  May transfer funds from a category to another when required.  When funds are received and certain amounts are designated for individual personnel must coordinate personnel functions under terms of grant involved.  This requires maintaining control so that the proper dollars are used.

Other duties as assigned.

Expected Salary:

$98,000 - $115,000 Annually

Minimum Requirements:

Master’s degree in an appropriate area and two years of relevant experience; or a bachelor’s degree in an appropriate area and four years of relevant experience.

Preferred Qualifications:

Five years of supervisory experience.
