Learning Services – Systems Maintenance and Process Improvement
  • Serve as liaison between Learning Services and Lastinger Center teams for enrollment and reporting needs
  • Implement, monitor, and evaluate Salesforce system changes and processes for enrollment
  • Implement and configure new Salesforce enrollment systems and processes for varying enrollment needs across different projects
  • Work closely with Lastinger Associates to ensure that participant and partner organization inquiries and suggestions are strategically coordinated and addressed in a timely manner
  • Conduct post implementation assessments and evaluations
  • Document and streamline existing processes and policies related to Salesforce enrollment systems, fostering a culture of continuous improvement
  • Develop and maintain user guides, manuals, and training materials for Salesforce enrollment systems
  • Research, analyze, and seek resources for resolution of issues that impede project progress
  • Work with project team members to obtain approval and authorization for access to UF computing resources as needed for the project
  • Supervise staff assigned to coordination of learning management system responsibilities
Learning Services – Project Management
  • Establish and maintain relationships with the business units and key partner groups to understand their business needs, and customer project expectations
  • Ensure alignment with objectives and ensure ongoing buy-in across all project activities
  • Implement and configure new enrollment systems and processes for varying enrollment needs across different projects
  • Translate business objectives into projects with clearly defined scope, timing, deliverables, resources, and key measures of success
  • Effectively set and communicate project expectations to team members and stakeholders
  • Proactively manage and communicate ongoing changes in project scope, identify potential crises and devise contingency plans
  • Facilitate the analysis and resolution of issues that impede project progress
  • Conduct project meetings and communicate project status with customers, project team members, vendors, and supervisors
  • Research, analyze, and seek resources for resolution of issues that impede project progress
  • Stay current on industry trends, best practices, and emerging technologies related to Salesforce and enrollment systems, evaluating and incorporating relevant advancements into daily use
  • Demonstrate adaptability and agility in responding to changing organizational needs and priorities related to enrollment processes and systems.
Learning Services – Registration Coordination
  • Advise participants and partner organizations on Lastinger policies and procedures, program requirements and related matters
  • Manage and maintain enrollment records. Ensure accuracy, completeness, and compliance with relevant regulations and privacy standards
  • Coordinate participant learning activities to include: registration, withdrawal, communication
  • Work closely with Lastinger Associates to analyze data and enrollment trends to increase retention: late enrollment, drops, withdrawals, inactive learners
  • Support Learning Services Team to maintain consistent communication with learning participants
  • Add participants, navigators, assessors, instructors, facilitators, and coaches to applicable platforms such as the Salesforce Education Cloud (Student Information System) and/or Learning Management Systems and to their respective courses and groups
Learning Services – Reporting
  • Ensure enrollment deliverable data are collected, reviewed, and submitted timely
  • Write and maintain Salesforce reports and dashboards for analysis of enrollment metrics and tracking
  • Prepare supporting documentation for invoicing and review purposes for enrollment activities
  • Provide regular enrollment updates to stakeholders within and external to the Center

To achieve this, the Lastinger Center offers a flexible, hybrid work schedule that aligns with the university’s Flexibility in the Workplace Policy. Allowing employees to stagger arrival and departure times as necessary and to vary the number of workdays in the office so long as an employee’s FTE commitment is fulfilled within the university workweek. This policy also allows for occasional, incidental remote work based on individual circumstances.
 
Must be able to coordinate remote collaboration with colleagues across Florida. This position is time limited and soft funded.
Expected Salary:

Salary is commensurate with background and experience. 

Minimum Requirements:
  • Master's degree and two years of relevant experience; or a bachelor's degree and four years of relevant experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
Preferred Qualifications:
  • Experience in Enrollment Management, Admissions, Registrar, Financial Aid, and/or Academic Advising
  • Project and system implementation experience
  • Experience in student information systems and CRM systems
  • Experience in customer service role
  • Experience in coordinated services position
  • Must demonstrate ability to meet deadlines
  • Strong communication skills required
  • Ability to visualize project management to team members using electronic/digital methods
  • Experience with Salesforce systems
  • Salesforce Admin training and-or certification
