Reporting to the Senior Director and Assistant Provost for the Office of Teaching and Technology and supporting the unit's dynamic operations. The Administrative Specialist I will manage multiple tasks, engage with individuals across the University of Florida campus, and represent the office in interactions both within and beyond the University community.
The Administrative Specialist I will support the interpretation and implementation of University and governmental policies, coordinate unit-level operations, and handle a variety of administrative responsibilities. Success in this position requires a comprehensive understanding of the rules and regulations governing the University of Florida and the State University System, along with a commitment to professionalism and collaboration.
The essential functions of the position are as follows:
Unit Coordination and Relationship Management
- Facilitate effective collaboration between academic units, including coordination with the Provost’s Office, colleges, and university administrators or their staff.
- Serve as the primary point of contact for inquiries, managing calls and emails, and triaging requests as needed. Support the planning, management, and execution of unit-level projects and initiatives to ensure operational efficiency.
- Schedule and provide administrative support for various committees (e.g., BOG, BOT, UAA) as assigned to the Associate Provost and Assistant Provost.
Administrative Support
- Manage the administrative needs of the Associate Provost and Assistant Provost, including scheduling, travel arrangements, and processing reimbursements.
- Oversee purchasing processes for office supplies, computer equipment, software, and related items, ensuring timely reconciliation and verification of P-card charges.
Website Review and Maintenance
- Conduct regular reviews of all websites within the Associate Provost’s portfolio to ensure content accuracy, functionality, and compatibility.
- Identify and submit updates, test site changes, and ensure proper structure and accessibility standards are maintained.

Full-time TEAMS employees will accrue vacation leave at a rate of 6.769 hours biweekly/22 days annually and sick leave at a rate of 4 hours biweekly/13 days annually. In addition, employees are eligible for ten paid holidays each year.
