The UF/IFAS Extension Family Nutrition Program (FNP) is looking for a full-time Administrative Assistant to support HQ office operations for our statewide SNAP-Ed program. Contribute your individual talents to the success of a team and join us to create a healthier Florida!
This is a new position, working under the supervision of the HR Generalist III. The Admin Assistant will manage the East Campus office operations, support in-person and virtual events, and organize day-to-day affairs of the state team and program.
What is SNAP-Ed? SNAP-Ed (Supplemental Nutrition Assistance Program - Education) is a federally funded grant program that teaches people how to eat healthy on a budget and be more physically active to reduce the risk of obesity and chronic disease. • FNP has been providing SNAP-Ed in Florida since 1996 • Funding comes from the USDA through the Florida Department of Children and Families (DCF) • The program is based on the current Dietary Guidelines for Americans and the USDA food guidance (MyPlate), as well as the Physical Activity Guidelines for Americans • We teach nutrition education classes where youth normally gather, such as schools, childcare and community centers, libraries and churches • Our dedicated regional public health and food systems staff work to impact policies, systems and environments to support healthy changes in our communities
The Opportunity As the State Administrative Assistant, you will be joining a signature Extension program impacting hundreds of thousands of youth each year.
In this role, you can expect to:
Provide administrative support • Assist with Associate Director’s calendar and meeting schedule • Prepare correspondence • Conduct research and compile reports • Support projects and strategic plan initiatives
Facilitate team collaboration • Compile agendas, take meeting notes and manage recordings for team meetings • Maintain contact lists and directories • Maintain organized digital files on shared drives • Assist with maintenance and updating of online communication channels (MS Teams, staff intranet in SharePoint)
Manage program office space • Serve as the point of contact for FNP state office campus space, working with FYCS colleagues and business partners across UF • Manage reservations for department vehicle and parking passes • Coordinate routine and incidental maintenance for department vehicle • Coordinate conference room reservations • Printer/copier management • Coordinate office supply orders and organize materials • Place facility and general IT requests • Coordinate keys and door entry codes • Receive, distribute, and send mail
Event management • Contribute to organized in-person and virtual training events • Reserve space and coordinate related contracts/agreements • Prepare materials for attendees and facilitator(s) • Distribute registration surveys for travel • Assist with tech, day-of logistics and issues, and event wrap-up
Additional Details This is a time-limited, grant funded position.
This position may be eligible to work remotely in a hybrid fashion, but majority of work will be completed at the FNP State Office at UF's East Campus on NE Waldo Rd in Gainesville.
A Level II background check will be conducted pre-employment.
