The Dean's Office of Finance and Administration in the College of Medicine is seeking a dedicated and detail-oriented Fiscal Assistant II to join our team. In this role, you will play an important role in supporting the daily operations of the Accounts Payable Team, processing fiscal transactions, and contributing to the overall efficiency of financial processes. You will collaborate with individuals across campus, represent the office with professionalism in both internal and external interactions, and handle multiple tasks with efficiency and precision. This is an excellent opportunity for someone looking to gain hands-on experience and grow within a professional and collaborative finance team that values accuracy, dependability, and thoughtful problem-solving.
About This Role:
- Enters data for patient and insurance refunds.
- Assists with mailing of Refund and Accounts Payable Checks.
- Serves as a backup for Accounting Specialist for daily Refund and Accounts Payable processing, including processing patient and insurance refunds, accounts payable checks and ACH processing, as well as sending files to TD Bank.
- Scans and digitize account payable reports for accurate record keeping.
- Assists in uploading account payable invoices into the electronic workflow system (PN3) for invoices received via US Mail.
- Handles the weekly check voiding process and send voided check files to the bank.
- Creates FCPA vouchers and enter approved invoices for non-PN3 vouchers into the accounting system.

Preferred Qualifications: |
An ideal candidate will possess:
- Proficiency in Microsoft Office (Word, Excel, Outlook) and basic office procedures.
- Competent in using office equipment (e.g., computer, Xerox machine) and capable of quickly learning new systems such as PeopleSoft.
- Strong organizational skills with attention to detail, and ability to prioritize, multitask, and follow up
- effectively.
- Familiarity with basic arithmetic, bookkeeping, and accounting systems.
- Skilled in data collection and report preparation for clear communication with colleagues.
- Effective communication skills for interactions with the public in person, by phone, and in writing.
- Ability to work independently, organize tasks, and coordinate work assignments.
- Knowledge of relevant University of Florida, Finance and Accounting, purchasing, and College of Medicine policies and regulations.
- Proficient in problem-solving techniques and reading budgetary ledgers for report compilation.
