Job Description:

The Research Administrator III plays an integral role in the Department’s ability to achieve its research mission. Specifically, the Research Administrator III will ensure that pre and post-award activities, for all types of sponsored research activities, are processed following governing policy and adherent to deadlines.  A breakdown of the position and its responsibilities is as follows:

Pre-Award Responsibilities

  • Works with the Department of Pediatrics faculty, fellows, and residents to coordinate the submission of research proposals.
  • Read Requests for Application (RFA) to coordinate the completion of the proposal package.
  • Ensure an on-time and accurate submission of proposals.
  • Build proposals budgets in conjunction with the Principal Investigator (PI), following institutional policy and agency guidelines.
  • Build proposals in the UFIRST proposal module and route following institutional policy.
  • Collate and assemble the final proposal packet to be submitted.
  • Assist PI in completing appropriate proposal documents (Budget Justification, Resources, Biosketchs, Other Support, etc).
  • Review all applications for completeness and compliance with RFA guidelines. Work with PI to troubleshoot errors.
  • Coordinate internal communication for multi-departmental submissions.
  • Stay current on institutional and funding agency policies to ensure proper submission of documents.
  • Provide PIs reminders to ensure timely submission of the proposal
  • Provide proofreading and software support for PI in drafting their research plan for new proposals.
  • Process Confidential Discourse Agreements as requested

Post-Award Responsibilities

  • Work with departmental and institutional units to ensure all awards are fully executed, processed by the Division of Sponsored Programs (DSP), and assist Department Assistant Directors in managing awards.
  • Monitor and manage all awards or award modifications through completion by DSP.
  • Ensure the timely processing of all awards or award modifications.
  • Works with PIs and DSP to receive award notifications, review proposed and funded budgets for changes, and provide budget item justifications per sponsors’ requests
  • Resolve any outstanding items preventing awards from being published by DSP.
  • Work with Departmental Assistant Directors to ensure that appropriate post-award management.
  • Complete no-cost extension as requested by Departmental Assistant Directors with the sponsor and/or DSP.
  • Ensure the completion of reports to funding agencies.
  • Provides data for faculty reporting across all academic areas, including faculty promotion and tenure packets, yearly evaluations, requests for proposals, searches of funding from agencies, and research applications.

Clinical Trial Responsibilities

  • Provide oversight to the Department of Pediatrics post award clinical trial compliance by ensuring that CRC and SHANDS invoices are processed promptly and sponsor invoicing is up to date.
  • Triage compliance issues in conjunction with study team to ensure regulatory compliance.
  • Interact with industry sponsors on behalf of the Department.
  • Coordinate the submission of applicable materials to the College of Medicine Research and Compliance Office

Other Responsibilities:

  • Work on special task and projects as assigned.
  • Run departmental reports as requested
Expected Salary:

$63,000 - $73,000 annually

Minimum Requirements:

Bachelor's degree and three years of experience in grant and contract administration; or an equivalent combination of education and experience.

Preferred Qualifications:
  • Independently functional in all modules of UFIRST
  • Proven ability to submit federal and non-federal grant proposals
  • Experience in pre and post award grant management experience for basic science projects and clinical trials
  • Demonstrated ability to read grant awards to process via UFIRST and provide guidance to PIs/staff/Sponsors
  • Experience using the myUFL financial system. Ideal candidate would be able to look up balances, chartfield information, HRACs, Award information, etc.
  • Familiarity with University policies and procedures related pre and post award grants management
  • Good verbal and written communication skills
  • Good organizational development skills
  • Demonstrated experience operating in Microsoft excel
  • Working knowledge of clinical trial administrative operations. Knowledge base should include
    • Clinical trial initiation
    • Billing compliance
    • Invoicing of sponsors.
