Join the Center for Experiential Learning & Simulation (CELS) in a dynamic role as an Administrative Specialist I, where you'll provide comprehensive support to the center. We’re seeking a highly organized and detail-oriented professional to manage complex schedules, coordinate logistics, maintain precise records, and offer technical assistance. In this role, you’ll be an integral part of academic and research initiatives, supporting meaningful programs and fostering key interactions. With opportunities to collaborate closely with stakeholders and manage core administrative tasks, this position is ideal for a motivated professional who thrives in a dynamic setting and is eager to contribute to the success of the CELS as we advance experiential learning and assessment excellence.
Scheduling and Coordination
- Coordinate and manage scheduling for the 3rd and 4th floors, including room reservations and space allocation for ALAC learning activities.
- Oversee and schedule confidential assessment activities, such as Florida CARES assessments and Intern OSCE/CSE preparations.
- Provide scheduling and clerical support for courses BMS6000 and MDT7200, acting as a liaison with the Office of Medical Education.
CSE Management
- Create and distribute all CSE reports to students.
- Attend CSE-related meetings with the medical director, prepare presentation materials, and take meeting minutes.
- Support quality control efforts by assisting with data collection.
Research and Meeting Support
- Develop and disseminate research-related materials, such as brochures and press releases.
- Coordinate communication with stakeholders, media outlets, or the public about research findings or outcomes.
- Maintain accurate records of research activities, progress, and outcomes.
Reporting and Data Management
- Use Qualtrics reports to manage data.
- Oversee billing, invoicing, and payment processes for CELS and ALAC.
- Handle payment processing for Standardized Patients (SP).

Preferred Qualifications: |
An ideal candidate will possess:
- Proficiency in Microsoft Office Suite (Word, Excel, Access, PowerPoint, Publisher) with advanced Excel knowledge.

A bachelor’s degree or higher is preferred, showing a commitment to personal growth and understanding of higher education.
- Exceptional ability to independently plan, organize, and coordinate multiple projects.
- Outstanding communication, organizational, and computer skills.
- Impeccable attention to detail.
- Strong interpersonal skills to effectively communicate with faculty, staff, and students.
- Experience with a Content Management System/Learning Management System.
- Accounting/Bookkeeping experience.
- Ability to work in a high-paced environment.
