Job Description:

Provide clerical and administrative support for the Office of Community & Belonging.
• Serve as a primary point of contact for the Office of Community & Belonging addressing inquiries via e-mail, mail, phone, and face-to-face for internal team and campus/external partners.
• Answer telephones, assist office visitors, answer related questions, and provide departmental reception desk coverage as needed.
• Manage the scheduling and coverage for departmental and Institute desks for part time/student staff.
• Maintain the calendars and scheduling for the Director and department staff (as needed).
• Assist with appropriate paperwork and online processes for travel requests for staff and students.
•Oversee training of student employees to assist in areas such as: managing office operations, providing excellent and consistent customer service, facilities management, inventory management, and processing of reports.
• May provide supervision to Student Assistant’s as needed.
• Provides assistance to the staff position that supports facilities within Community & Belonging.
• Provides administrative support for the department through hiring and onboarding of graduate and undergraduate student assistants and volunteers.
•  Provides fiscal support by reconciling purchasing card orders, reviewing invoice payments, ordering office supplies, managing department business accounts.
•  Manage human resource functions for the office and provide updates for staff on training and policies.
• Manages office supplies inventory, handles purchases, or compiles data for larger procurement tasks. Also addresses equipment or facility concerns when they arise.

Manage databases, social media, and information collection processes for the Office of Community & Belonging.
•Provide supervision to student employees as needed and coordinate marketing/social media with the Marketing & Communications Specialist for Student Engagement.
• Coordinate IT and facility processes.
• Provide coordination and management of department assets.
• Management/ Coordination of space reservation across all facilities.
• Manage hardcopy and electronic information for student employees and staff.
• Oversee development and maintenance of Community & Belonging operations and front desk manual.
• Coordinate office mail as needed.

Assist in the coordination of campus and community events for the Office of Community & Belonging.
•Assist with organizing or aiding in department wide cornerstone events that include tabling, welcome events, Giving Day, tours, partnerships, and signature office events as needed.
•Purchase supplies and materials, and coordinate scheduling and venue reservations as directed.
• May need to drive to the institutes on occasion to assist with events.

Prepare and provide reports for distribution to campus, local, state, regional, and international offices in reference to the Office of Community & Belonging..          
•Supports office in organizing assessment data and developing reports.
•Update and maintain department databases containing various lists, alumni donors, student programs, student ambassadors and volunteers (past and present), mailing lists, evaluation charts, etc.
•  Assist constituent agencies, offices, and departments as appropriate.

Contributes to the Division and University through active participation on committees and division-wide initiatives (example opportunities: emergency dean on call, move-in, conduct committee, student welcome events, etc); and, other duties as assigned.

Expected Salary:

$23 per hour

Minimum Requirements:

Bachelor’s degree; or an equivalent combination of education and relevant experience.

Preferred Qualifications:

Experience with administrative functions of UF, including PeopleSoft, travel, and hiring processes, is preferred. Additionally, communication skills (written and oral), computer skills, and experience working with and supporting a diverse population of university students in preferred. This is a front facing, customer service based, support position that seeks a candidate who enjoys working directly with students.
