Job Description:

UF Information Technology (UFIT) is currently seeking an intermediate-level Administrative Specialist II to join Infrastructure & Communication Technology (ICT), a unit within UFIT.

Employment with UFIT provides an excellent opportunity to work with other employees who are dedicated and focused on understanding and interpreting the technological needs of the University of Florida’s innovative and inspirational community.

ICT provides shared IT Infrastructure to meet the needs of the University of Florida. It aims to consolidate and standardize IT infrastructure. It replaces, retires, and keeps the campus IT infrastructure and communication services current in order to optimize and maximize all IT provided services.

As part of ICT, you will be the administrative arm to the Associate Vice President & Deputy CIO as well as Associate Directors. As part of ICT's administrative team, you will be responsible for administrative, procurement, and office management support of ICT leadership.

The ideal candidate will have a proven track record of dependability, reliability, flexibility, and great attention to detail.

Some key responsibilities and characteristics of this position are:

  • Assists, manages, schedules, and maintains AVP & Deputy CIO and Associate Director’s calendars, meeting schedules, interviews, meeting minutes, and business events by providing oversight and assistance with the administrative functions designed to create a seamless operation in the office
  • Manages budget related to ICT operations, including (but not limited to) contracts, salaries, Other Personnel Services (OPS), operational expenses, consulting, and/or project expenses. Provides final authorization on all procurement and travel related expenses and all procurement related items
  • Responsible for preparing a variety of materials including correspondence, reports, and presentations. Coordinates internal and external contacts and communications
  • Serves as the contact person on behalf of the AVP & Deputy CIO, department management, and area administrators for special projects and requests as they relate to internal and external customer and vendor relations, as well as service projects (small-to-large in complexity)

Benefits

Full-time TEAMS employees will accrue vacation leave at a rate of 6.769 hours biweekly/22 days annually and sick leave at 4 hours biweekly/13 days annually. In addition, employees are eligible for ten paid holidays each year.

Vacation-accruing TEAMS employees are eligible for four personal leave days/32 hours per year, assuming full-time status, and are intended to give the flexibility to enable units to close from December 26 to 31, when possible, determined on a unit-by-unit basis.

Expected Salary:

$55,000-$60,000; commensurate based on education and experience.

Minimum Requirements:

Bachelor's degree and three years of appropriate experience; or an equivalent combination of education and experience.

Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience but does not negate the minimum degree requirement.

Preferred Qualifications:

The ideal candidate will possess the following experience and skills:

  • Excellent written and verbal communication skills, outstanding communicator; interpersonal skills; and the ability to work collegially and interact effectively with all constituencies
  • Excellent organizational skills and an ability to prioritize and complete simultaneous projects with minimal supervision
  • Accuracy, attention to detail, and a customer service-oriented approach and mindset
  • Proficient/strong computer skills
  • Proficient in Office 365, Microsoft Teams, Microsoft Outlook, Visio, Word, PowerPoint and Excel
  • Ability to work well with staff and campus computing providers to provide high-quality support
  • Project coordination experience
  • Budget management experience
  • Experience with Zoom, DocuSign, and ticketing systems
