Job Description:

Administration:

  • Responsible for directing the administrative and fiscal operations of the Institute to include oversight of accounting, purchasing, personnel, maintenance agreements and fiscal operations. Participates in strategic planning for assigned areas and assists the Director in developing and implementing the overall Institute’s strategic plan. Establishes performance goals and measures to evaluate performance of the administrative staff. Participates in formulating and implementing policies and procedures. Performs other duties as assigned by the Director.
  • Direct responsibility for the fiscal operations of the GI. Responsible for business-related affairs, including, but not limited to, the functions of planning and budgeting, HR and personnel, purchasing, payables, receivables, contracts, and internal control accounting. Manages advanced analytical and project management strategies to evaluate and monitor the implementation of internal administrative and fiscal controls and ensure regulatory compliance. Responsible for establishing and implementing guidelines, polices, and procedures in all of the areas listed.
  • Supervises the day-to-day operations of the Institute, including the recruitment, training, supervision, and evaluation of the Institute’s employees. Provides guidance and direction to staff involved in the Institute’s services and programs. This requires the Assistant Director to exhibit up-to-date knowledge of all applicable policies and procedures, as well as knowledge of the University’s electronic recruitment and hiring systems.
  • Responsible for ensuring that all programs, activities, and series comply with university, state, and federal regulations. Responsible for maintaining an inclusive working environment that is free from discrimination and harassment. Develops and maintains systems for the Director’s effective management and reporting of all non-financial resources. These include, but are not limited to, space, staff effort, parking, transportation and fixed assets. Performs data entry and acts as the local point-of-contact for the Institute with regard to the Office of Research and the University reporting and management systems for these resources. Coordinates special studies and/or projects, as directed.

Communication & Outreach:

  • Develops and maintains a comprehensive network of local and regional partners, including, but not limited to, contacts within the various departments and disciplines of the College of Medicine (COM), the Institute for Food and Agricultural Sciences (IFAS), the College of Engineering, and the College of Liberal Arts and Sciences (CLAS). Fosters collaborations, works with contacts to identify the needs of UF researchers, trainees and the community, to align GI programs and services with the needs if stakeholders.
  • Develops structured ongoing communication strategies with the GI’s Communication’s Team to assure community engagement. Coordinates development of program materials, including educational materials, marketing materials, websites, forms, and reports related to the GI. May prepare and distribute news releases for the GI. Promotes the GI at local, regional, and national level, utilizing advanced marketing strategies as appropriate.
Expected Salary:
  • $70,000- $90,000
Minimum Requirements: Master’s degree in an appropriate area and two years of relevant experience; or a bachelor’s degree in an appropriate area and four years of relevant experience.
Preferred Qualifications:
  • Current knowledge of GI and its current research focus.
  • The ability to provide investigators with a diverse menu of current and potential research studies and collaborative opportunities.
  • Ability to conduct needs assessments with community members and Institute partners.
  • Integrity and a strong background in business administration.
  • Strong interpersonal skills and the ability to work closely with faculty, staff, and other stakeholders to resolve complex issues.
  • Competent in the use of Microsoft Windows, Excel, Word, PowerPoint, and Outlook.
