This position is housed in the Department of Health Services Research, Management and Policy in the College of Public Health and Health Professions. Responsibilities of this position include supporting undergraduate and graduate recruitment, marketing and admissions for the Population Health Management concentration, Health Administration minor, and PhD in Health Services Research programs. This position assists the Academic Program Specialist with various duties, including but not limited to organizing instructor records, serving as the point of contact for enrolled students’ inquiries, scheduling courses, obtaining course numbers for new offerings, compiling textbook lists, coordinating graduation and orientation events, and developing an alumni database. The Academic Assistant II also assists with student recruiting, and admissions.
Responsible for support to Program Directors for all aspects of admissions for assigned programs. Manages the initial processing of student applications to the department programs. Assists with enrolling admitted students, notifying applicants of decisions, monitoring enrollment requirements and planning department orientation. Primary point of contact for the registration of PhD students. Assists with semester course management, classroom scheduling, course textbook adoptions and faculty textbook orders. Monitors input of semester grades and assists with course evaluation setup.
Manages student and program file management for assigned programs, including but not limited to electronic student files, liaising with the Registrar on behalf of the student, and making appropriate edits in GIMS and PeopleSoft. Disseminate information to students and faculty as requested. Assists with gathering semesterly course syllabi and making needed website updates. Support administrative staff in planning of department events such as orientation, program open house, internship showcase and other various departmental events. Coordinate with program directors to assist with employment and exit surveys for graduating students.
Responds to internal and external agencies requesting information about the department and academic programs. Attends marketing opportunities, career fairs and professional meetings with, or on behalf of, the Program Director for assigned programs. Develops, implements and provides input and monitors marketing plans for student recruitment. Assists with reports and provides program information to the Department, College, and University (as requested). Assist with program accreditation.
Assist with assembling and preparing semester reports: Instructor Workload, Graduate Admission Report, Graduate Enrollment Report, Graduation Report, Minority Tracking Report, Student HIPPA Report, and various other reports as required by the Department, College and University.
Completes the Academic Activity reporting for all faculty and provides additional support to department faculty as needed. As the first point of contact for prospective students, employers, and other stakeholders, triages telephone calls to the department, answers questions about the program and assists visitors.
