Job Description:

The Admissions Officer I position described herein is supervised by the Associate Dean for Admissions and Financial Aid and the Assistant Director of Admissions at the University of Florida College of Dentistry.  The incumbent is knowledgeable about College and University admissions policies and procedures.  The incumbent presents a positive image of the school.  The incumbent works independently while supervisors are engaged in other activities. The incumbent communicates clearly, openly, and consistently with supervisors and co-workers. The incumbent follows established procedures and protocols unless alternate arrangements have been cleared by a supervisor. The incumbent coordinates the admissions processes for all advanced and graduate education programs at UF College of Dentistry as well as the 4-year DMD program for internationally-educated dentists and the combined BS-DMD program. Additionally, the incumbent supports the admissions activities for all other degree and certificate programs at the College of Dentistry.

Advanced and Graduate Program Admissions & Student Records:  Responsible for processing applications for PASS and CAAPID (national application services), communication with UFCD Graduate Program Directors and Program Assistants.  Responsible for communication and exchange (file transfer, exports, etc.) with UFCD School of Advanced Dental Sciences (SADS) personnel and the Associate Dean & Director for SADS.   Works closely with UF departments, directors, Office of Admissions, Registrar, Student Financial Aid Office, and Graduate School to ensure all processes are complete and in compliance.  Assists supervisor in annual revisions of the UFCD Advanced Dental Education Programs by meeting with program directors.

Responds to inquiries from prospective advanced dental education and graduate program applicants via face-to-face meetings, emails, and telephone calls.  Refers inquiries to other offices, as necessary, and provides information for pre-professional counselors, academic advisors, faculty, program directors, and University administrators.  Provides advising to pre-applicants and applicants. Notifies applicants of application status. 

Assists with all related pre-admissions activities. Creates and maintains confidential database for all graduate/postgraduate applicants; over 15 different programs with different application processes and deadlines.  Requests, receives, verifies, processes, and downloads all supporting application documentation for these programs. Responsible for transferring completed applications to appropriate UFCD program directors. Responsible for understanding and complying with state and federal laws related to confidentiality of student records. Requests, processes, and records pre-enrollment records for accepted applicants.
Develops and updates annually or as needed all admissions forms, publications, documents, and shared drive folders required for the application process.  Keeps UFCD, PASS, and CAAPID websites updated. 
Provides annual Advanced Education presentation for UFCD students and Program Directors.

DMD Program Assistance:  Assists the DMD Admissions Officer and other Admissions Office personnel with the DMD application cycle; maintains accurate and current application database, answers emails, telephone calls, processes mail, scans documents, audits data, participates in interview day activities, etc.   Assists with the DMD application review process; screens DMD applications and assists in the preparation for applicant interviews and Admissions Committee meetings. Supports recruitment activities including, but not limited to, Pre-dental Forum, Pre-dental Fair, ADEA GoDental Recruitment and Virtual Fairs, Accepted Student Open Houses, and other UFCD recruitment events.

Miscellaneous Admissions: Participates in other duties as assigned for all programs. Attends UF and UFCD meetings and workshops and provides general office support to the UFCD office of admissions. This position will submit service requests to IT and PPD as needed.  Some additional duties include appropriate organization and disposal of records and postal mail processing. Participates in recruiting, interviewing, orientation and all events, as needed. Assists the Assoc. Dean for Admissions and Financial Aid by acquiring data for research projects, review of office admissions processes and grant proposals.

Office of Admissions Financial Accounting:  Keeps up-to-date on all accounting and financial procedures and training. Collects, documents, and assists in the processing of DMD deposit checks.  Manages PCard expenditures, purchasing, department budget/ledger, all travel authorizations, expense reports, and aging reports.

Supervision: Supervises student assistants and coordinates work assignments as needed.  Works with UFCD HR to post openings, review applications, interview applicants, on-board employees, and complete termination duties.

Combined BS-DMD Program: prepares application materials and website for combined program and gathers requirements for applicants and accepted students to ensure they meet matriculation requirements for the DMD program.

Expected Salary:

$33,000 - $48,300 annually; commensurate with qualifications and experience

Minimum Requirements:

 Bachelor's degree; or an equivalent combination of education and experience.

 Preferred Qualifications:

Knowledge:

  • Knowledge of conversational Spanish
  • Knowledge of UFCD and UF admissions policies and procedures

Skills:

  • Excellent computer skills, including MS Word and Excel

Abilities:

  • Ability to work independently when the supervisor is otherwise engaged

Other Qualifications:

  • Present a positive image of the UFCD
