Job Description:

The Interdisciplinary Center for Biotechnology Research (ICBR) is the University of Florida’s central life science research center, focused on providing UF researchers with access to cutting-edge scientific instrumentation, services, and expertise. The Marketing and Communications Specialist role helps develop a communications strategic plan for ICBR as well as coordinating and managing the communication program in concert with the ICBR administration. This includes managing external and internal communication efforts, managing unit websites and online content, coordinating the preparation of marketing materials, advertising, conducting, and analyzing customer and/or faculty and staff surveys, events promotion management, and reporting on all communication activities and results. In addition, the Marketing and Communications Specialist will work with the ICBR Science Core Directors to identify high-impact projects being supported by ICBR, and develop stories highlighting the results to share with the University research community. Connecting with other UF communications personnel and events to navigate UF regulations and policies regarding branding, social media and other communications activities is expected. Customer service, both within ICBR and with our external customers, is key to ICBR’s success. This position requires adopting and promoting a positive, professional, respectful, and customer-centric attitude.

Marketing and Communications-coordinate all external messaging efforts. Quickly produce promotion strategies, plans and content for ICBR. Responsible for all graphic design responsibilities for the production and design of all print/digital aspects of ICBR including but not limited to flyers, posters, web headers, social media posts, CGRC atrium graphics, newsletter headers and branded templates. Responsible for creating a monthly Tech Brief digital newsletter that is sent out to all ICBR customers and subscribers. Help promote all ICBR job openings through ABRF job portal, LinkedIn hiring, ICBR careers and other avenues. Develop ways to engage UF Faculty through traditional letters, modern messaging, leading strategy, design and dissemination of materials. Manage all ICBR social media accounts and create strategy and content for Facebook, Twitter, and LinkedIn. Manage ICBR branding effort at ICBR.

Website design and maintenance – Responsible to maintain and evolve the ICBR website to reflect template direction from UF Research as well as ICBR administrations current goals, while staying up to date on over 200 pages of content. Produce supporting pages like web posts (156 in 2022) and event pages (54 in 2022). Update service pages, staff pages, instrument galleries within 24 business hours of provided content.  

ICBR Support – Attend events when applicable. In case of ICBR tabling at an event or conference, solicit and follow-up with volunteers, prepare materials and set up/break down at event. Coordinate tours with business services. In charge of managing the “contact us” email distribution list and answering all customer inquiries in 24 business hours. Supports the ordering of all ICBR apparel and advertising swag and in some instances helps create new items and maintains inventory. Provide support to create internal documents such as  tour “cheat sheets” and other documentation to support ICBR activities. Attend monthly senior staff meeting to keep on top of current needs of core administration and core directors. Meets periodically with core directors to assure core web pages and core content in advertising is up to date. Populate the ICBR calendar and build an event page for each seminar Build registration forms and provide vendor with a list of registrants. Review ICBR internal newsletter and help populate content. Help support ICBR workshops when needed by providing assistance with creating a registration page etc. Maintain ICBR’s ongoing survey. Report results along with recent user survey results from business administration to upper administration monthly. Work to keep ICBR survey updated and work to create new ways to engage customer participation to obtain useful feedback.

Reporting- run a monthly communications meeting including prepared graphics/charts and report marketing metrics (from newsletter engagement, web traffic, social media analytics, RRIDs) monthly to upper administration. Work with ICBR fiscal to pull insightful user data from iLab and prepare graphics/charts to present monthly to upper administration.  Also report on monthly results of the user surveys and ICBR ongoing survey. Help to populate new questions and new ways of engaging customers to provide useful feedback.

Other duties as required.

Expected Salary:

$52,500 - $57,500, commensurate with education and experience

Minimum Requirements:

Bachelor's degree and three years of relevant experience; or an associate's degree and five years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:

- Experience with communication and marketing strategy, as well as graphics and web design, web site management, graphic design, coordinating events, and publications.
- Knowledge of UF web templates and branding
- Previous experience with scientific writing
