The Opportunity
The Fiscal Assistant II serves as the primary staff member responsible for managing all Student Health Care Center (SHCC) UFGO transactions, including travel, personal reimbursements, professional development dues, memberships, licenses, and PCard transactions. This position conducts monthly reconciliations, prepares reports, and reviews aging reports to ensure accuracy and compliance. The Fiscal Assistant II communicates with and trains internal staff on the UFGO system, maintains and tracks budgets for staff travel and professional development, and monitors the life cycle of transactions to ensure timely processing. The role also provides backup by ensuring the pharmacy fee schedule is sent to the insurance carrier each week for price adjustments.
In addition, this role assists with contract management in collaboration with the SHCC and UF General Counsel on submitting drafts and executing Memoranda of Understanding, bills and reconciles monthly third-party contracts. This position consults with administrative units on digitization and storage options, electronic records policies and procedures, and the disposition of SHCC records and maintains all records retention for SHCC. This position is cross trained in other Fiscal Assistant roles within the office to provide additional support as needed.
UFGO Transactions and Processing:
- UFGO Transactions: Handle all UFGO transactions for the Student Health Care Center.
- PCard Processing: Verify, process monthly reconciliation, and manage aging reports for PCard transactions.
- Travel and Personal Reimbursement Processing: Process all travel, professional development expenses, personal reimbursements, dues, memberships, and subscriptions for SHCC staff.
Budget Maintenance and Contract Management:
- Budget Maintenance: Maintain and track budgets for staff eligible for travel and professional development expenses.
- Transaction Lifecycle Management: Track the life cycle of all transactions to ensure timely receipt and payment of licenses, dues, and memberships.
- Contract Management: Assist with contract management between the Student Health Care Center and UF General Council.
- Third-Party Contracts: Bill, reconcile, and maintain the monthly third-party contracts.
Records and Administrative Consultations:
- Records Management: Assist with consults on digitization and storage options, electronic records policies and procedures, and disposition of university records.
- Serves as backup to the Health Information Specialist to assist with the release of medical records, scanning and phone calls.
- Space Allocation: Assist with space allocation reports as needed.
Cross-Training:
- Be cross-trained to back up other positions within the Finance and Accounting Office.
