Job Description:

Ph.D. Program Administration
- Responsible for providing administration support for the college-wide Ph.D. Program in the College of Design, Construction & Planning.  This includes responsibility for the Ph.D. Program admission process, support of current students, and Ph.D. program administration:

Ph.D. Program Admissions  
        
- Advises students for admission to the UF Graduate School: receives, processes, and oversees application materials for review; generates and sends acceptance/decline letters as necessary; and maintains communication with applicants and admitted students.            
- Serves as liaison for DCP and Ph.D. students with Admission’s Office, Graduate School, UF International Center, and the Registrar’s Office in matters related to graduate admissions.

Support of Current Ph.D. Students    
        
- Assists all Ph.D. students with registration, dropping, or adding classes as needed. Maintains academic records of Ph.D. students, including grade collection each term, tracking student degree progress, and the processing and submitting any late grades, change of grade forms, or petitions.            
- Submits required information regarding Supervisory Committee, Admission to Candidacy, and report Final Examination to the Graduate School.           
- Make available for Ph.D. students specific deadline dates (i.e. registration drop/add, first submission of dissertation, etc.)            
- Notifies Ph.D. students of critical graduation milestones and directs students when to seek appropriate follow-up with faculty advisors and the Ph.D. Program Director.            
- Distributes notifications of doctoral defenses to the DCP faculty each term.            
- Submits grade reports to the Registrar’s Office by deadline dates and maintains files concerning semester grades.

Ph.D. Program Administration  
          
- Provides administrative support to the Ph.D. Program Director.            
- Assists Ph.D. Program Director with the development and updating of the DCP Ph.D. Program Strategic Plan and reports.            
- Collects ongoing data for SACS reporting and contribution to required program proposals or reports.           
- Reviews and maintaining an updated website, program handbook, and other materials.            
- Coordinates and administers the faculty evaluations for core PhD coursework and the annual Ph.D. student evaluation process.

Academic Administrative Support to the Associate Dean for Research & Strategic Initiatives (ADR+SI)            
- Deliver comprehensive administrative support, managing meeting schedules for the ADR+SI, and supporting in strategic projects.            
- Compile, analyze, and report on key metrics for graduate and research performance to inform ADR+SI and support strategic planning.      - Coordinate and execute academic events, including graduate student recruitment efforts and DCP Research Symposium/ Innovation Summit, research seminars, and disseminating funding opportunities to faculty and students. 
- Provide support for internal grant proposal review initiatives including collecting proposals, distributing for reviews, assimilating the results for distribution.

Administrative Support for Other Graduate Programs and Research as Needed

 

Expected Salary:

$55,000 - 60,000

Required Qualifications:

Bachelor's degree and three years of relevant experience; or an equivalent combination of education and experience.

Preferred:

-Excellent customer service, verbal and written communication skills. Knowledge of the Student Information System, GIMS, PeopleSoft (UF Portal), and other UF IT systems to reference multiple data sources to identify problems and resolve discrepancies within established protocols.

-Ability to communicate professionally in multiple channels and a commitment to completing team missions via individual and group efforts.

-Knowledge of the graduate degree programs and policies for masters, engineer, specialist, and doctoral programs.
