Job Description:

The Manager of Operations is responsible for managing, planning, developing, and implementing a variety of operational projects related to space management, emergency planning, and other facility related tasks at the College of Medicine. This role involves working closely with COM leadership, departments, faculty, and staff, as well as collaborating with University of Florida main campus offices, to optimize the use of physical spaces and coordinate emergency planning efforts to ensure the safety and security of students, staff, and visitors. The individual in this position will also represent the College in various operations and facility-related meetings and initiatives.

About This Role

Space Management

  • Manage the planning, development, and implementation of space management strategies across the College of Medicine, ensuring efficient utilization of physical space to meet the needs of faculty, staff, and students.
  • Coordinate space assignments and reassignments, and oversee the design and modification of space layouts in alignment with the College’s operational goals.
  • Work with departments to ensure spaces are aligned with academic, research, and administrative needs.

Emergency Planning

  • Develop, implement, and regularly update the College's emergency preparedness plans, including evacuation procedures, disaster response, and continuity of operations.
  • Coordinate training and awareness programs related to emergency planning and safety protocols for faculty, staff, and students.
  • Collaborate with university officials to ensure the College is in compliance with local, state, and federal emergency response regulations.

Operations and Facilities Coordination

  • Represent the College at facility-related meetings, including but not limited to space utilization discussions, facility upgrades, and operational improvements.
  • Serve as a liaison between the College and other departments (e.g., campus facilities management, security, IT) to ensure smooth execution of operational tasks and projects.
  • Provide regular updates and recommendations to the College’s Chief Operating Officer regarding the status of operational initiatives.

Project Management

  • Lead and manage a variety of operational projects, ensuring they are completed on time, within budget, and meet the strategic objectives of the College.
  • Develop project plans, timelines, and budgets for each initiative, and monitor progress to ensure milestones are met.
  • Proactively address any issues that arise and work to find solutions that minimize disruption to the College’s operations.

General Operations Support

  • Assist with the coordination and implementation of other operational tasks and projects as needed by senior leadership or department heads.

Expected Salary:

$82,000 - $90,000; commensurate with education and experience

Minimum Requirements:

Bachelor’s degree in an appropriate area of specialization and three years of appropriate experience

Preferred Qualifications:
  • Bachelor's degree in business, management, facilities management, or a related field (Master’s degree preferred).
  • Minimum of 3-5 years of experience in operations management, project management, or facilities management, preferably within an academic or healthcare environment.
  • Strong knowledge of space management, emergency planning, and facility-related processes.
  • Proven project management skills with the ability to manage multiple projects simultaneously and deliver results on time and within budget.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with diverse groups of stakeholders.
  • Strong problem-solving and decision-making abilities.
  • Ability to work independently as well as part of a team, with a high level of initiative and attention to detail.
  • Proficiency in project management software, MS Office Suite, and related tools.
  • Familiarity with emergency preparedness regulations and compliance.
  • Knowledge of higher education or healthcare facility operations.
  • Certification in project management (e.g., PMP) is a plus.
