Job Description:

Office Support:
Provides administrative support to the Director and Associate Director by assisting with appointment schedules, coordination of center events and meetings, faculty promotion processes, and document uploads to the server. Prepares correspondence, reports, manuscripts, and inventory records. Handles general inquiries from UF units, staff, and external contacts, referring program-specific inquiries as needed. Greets visitors, screens calls and mail and assists with outgoing/incoming deliveries. Manages front office supplies and coordinates room scheduling. Uploads vehicle and fuel logs and follows up with faculty on missing entries. Coordinates luncheons, workshops, and meetings. Serves as the center notary. This position also serves as a member of the Housing Committee, participating in oversight of dormitory and leasing contracts.

 

Fiscal:
Collects housing rent payments, maintains revenue logs, manages the online FedEx account, and ensures SunPass transponders in center vehicles are replenished as needed.

 

Space Allocation:
Maintains and updates the online space allocation file to support the annual space allocation report. Manages the inventory and distribution of facility and dorm keys, ensuring accurate records of key assignments and recipients.

Expected Salary:

$15.00 / hr

Required Qualifications:

Associate's degree or equivalent and/or three years of relevant experience. 

Preferred:
  • Ability to work independently and maintain and organize filing systems and records.
  • Ability to maintain confidentiality.
  • Ability to handle telephone calls and visitors in a courteous and effective manner.
  • Ability to establish and maintain effective working relationships with administrators, faculty, staff, and students.
  • Proficiency in Windows, word processing, and spreadsheets.
  • Knowledge of office procedures and practices, including correct spelling, punctuation, grammar, and effective communication techniques.
  • Solid understanding of basic math.
