The College of Medicine, Office of the Dean, is seeking a detail-oriented and proactive Event Planner II to support the Dean’s Office in advancing strategic priorities through high-impact events. Reporting to the Chief of Staff, this role is responsible for planning and executing events, managing budgets and timelines, coordinating with internal and external stakeholders, and ensuring compliance with UF policies. The ideal candidate is collaborative, organized, and dedicated to delivering exceptional service that upholds the college’s standard of excellence.
About This Role:
Event Planning and Coordination
- Plan and execute events for the Dean’s Office and college leadership, including meetings, receptions, lectures, and college-wide functions.
- Manage logistics such as venues, catering, AV, décor, signage, parking, and staffing, and serve as the on-site point of contact.
- Collaborate with departments like Communications, Development, and Facilities to ensure alignment of goals and messaging.
- Create and maintain event timelines, run-of-show documents, and standard procedures to ensure consistency and compliance.
- Manage event budgets, track expenses, process payments, and maintain accurate documentation.
Project Management and Special Project Support
- Provide logistical and scheduling support for strategic projects led by the Chief of Staff and Project
- Managers.
- Assist with organizing interview itineraries for executive-level candidates and other high-profile visitors.
- Help document workflows, operational procedures, and project milestones to enhance organizational
- effectiveness.
- Support special initiatives by coordinating communications, scheduling meetings, preparing materials,
- and tracking project-related tasks.
Administrative Support
- Maintain inventory and ordering of general office supplies for the Office of the Dean.
- Serve as backup administrative support to the Dean, including managing the calendar, coordinating
- meetings, and assisting with correspondence during absences of the primary assistant.
- Coordinate travel arrangements for the Chief of Staff and Project Managers, including booking flights,
- lodging, and transportation, and preparing expense reports in accordance with university policies.
