Job Description:

Budget Development and Oversight /  Financial Reporting

  • Development and management of annual budgets for the unit as well as each department within the museum.
  • Preparing regular financial statements and reports for grants, UF internal reporting, UF Foundation reporting, etc.
  • Preparing monthly expenditure statements for all budget managers and meeting regularly with them to assist with department budget management and reconciliation.
  • Preparing budget-to-actual expenditure report to present to the Museum Director on a quarterly basis, or as requested by the Director.
  • Monitoring spending and providing detailed variance explanations.
  • Ensure alignment of financial practices with organizational goals and fiscal policies.

Compliance and Controls

  • Ensure compliance with financial regulations, policies, and reporting requirements.
  • Monitor internal financial controls and audit processes.
  • Identify areas of risk and implement solutions that safeguard financial integrity.
  • Suggest corrections to account balances and resolve funding issues.
  • Proactively analyze current processes, recommend solutions to leadership, and support implementation.

Financial Forecasting and Analysis

  • Develop and present detailed financial forecasts, long-range planning models, and cash flow projections.
  • Provide analysis to support decision-making and business strategy.
  • Recommend resource allocation strategies and cost-saving opportunities based on data-driven insights.

 Leadership and Team Collaboration

  • Serves as a lead for other financial staff.
  • Guides team members in daily operations, training, and professional development.
  • Collaborates with multiple departments to gather data, resolve financial issues, and implement improvements.
  • Create and present staff training on relevant financial topics.
  • Act as a liaison between finance and all museum departments.
  • Partners with the Human Resources Manager on payroll distributions and budget requirements
  • Collaborates with the Rentals Department regarding invoices, deposits, tax reporting, etc.
  • Works with the Director of Visitor Engagement in the preparation and submission of inventory reports.
  • Support the implementation of new financial systems or tools as needed.

Grant Support and Documentation

  • Support the administration of grant agreements, funding compliance, and reporting.
  • Provides the Special Projects Manager with all financial requirements; assists with timeline and regulation adherence.
  • Works with the Human Resources Manager in tracking and reporting grant personnel salary expenditures.
  • Monitors restricted funds and coordinating documentation.
Expected Salary:

$65,000 - $80,000

Required Qualifications:
  • Bachelor's degree in an appropriate area and four years of relevant experience.
  • Demonstrated high-level mastery of Microsoft Excel
Preferred:
  • Strong skills in budget modeling, forecasting, and variance analysis
  • Experience with PeopleSoft to include expertise with Enterprise Analytics and Queries
  • Experience with UF Foundation funding
  • Master’s degree in finance, accounting, business, or related field 
  • Experience supervising finance professionals
  • Experience with grant financial management
  • Advanced knowledge of financial software and enterprise system
  • Excellent written and verbal communication skill
