Job Description:
  • Responsible for the purchasing for a K-12 school, which includes material and supplies, instructional materials, computers, furniture and equipment and contract maintenance. Works directly with various school organizations including parent, academic and athletics.  Ensures the appropriateness of purchases and certifies that UF rules, regulations and department polices are followed and reconciles pcard transactions to Peoplesoft
  • Serves as the School’s liaison for the University’s fiscal and purchasing offices, establishes relationships with outside vendors, researches and ensures best practices and prices. Works with vendors on any payment issues and/or problems
  • Responsible for the database entry of processed accounting transactions in the department’s internal system.  Assists the Financial Analyst II with research necessary to reconcile department accounts
  • Assists the Financial Analyst II in fiscal/office related duties. Prepares documents and correspondence outlining internal procedures and best practices. Assist faculty and staff on internal purchasing processes.  Updates and modifies internal processes as deemed necessary. Incumbent is trained on department’s databases in order to provide assistance as needed
  • Greet and route visitors to appropriate personnel, providing coverage at the main desk, when needed; Assist with general office duties including, but not limited to, answering phones and providing assistance to parents and visitors.  Opens and sorts mail, faxes, copy, assist faculty and other duties as assigned by the Financial Analyst II
  • Assist the Financial Analyst II with the management of department contracts.  
  • Run errands as needed to make necessary school purchases; Assist with Ad Hoc projects
  • Provide student supervision, as needed
Expected Salary:

$21/hour

Minimum Requirements:

High school diploma or equivalent and three years of general accounts transaction experience. Appropriate college course work or vocational/technical training may substitute at an equivalent rate for required experience.

Preferred Qualifications:

Must be able to communicate effectively both verbally and in written communication.
Knowledge of UF fiscal regulations and policies.
Knowledge of Pcard regulations and policies.
Knowledge of the policies surrounding FEFP, Grant, and Auxiliary funding.
